Job Summary
We are seeking a highly organized and detail-oriented Scheduler to join our healthcare team. The ideal candidate will be responsible for coordinating patient appointments, managing medical records, and ensuring efficient clinic operations. This role requires strong familiarity with Electronic Health Record (EHR) systems, medical terminology, and healthcare administrative procedures. Bilingual abilities and clinic experience are highly preferred to facilitate effective communication with diverse patient populations. The Scheduler will play a vital role in supporting medical staff and enhancing patient service quality.
Duties
- Schedule patient appointments using EMR systems such as Medent.
- Verify insurance coverage and perform insurance verification procedures
- Manage and update medical records, ensuring accuracy and confidentiality in compliance with HIPAA regulations
- Review documentation including CPT coding, ICD-9/ICD-10 codes, care plans, and billing information for accuracy
- Assist with intake processes and front desk responsibilities, including multi-line phone system management and patient check-in/out
- Maintain organized filing systems for medical records and administrative documents
- Coordinate with clinical staff to optimize appointment scheduling and clinic workflow
- Provide excellent patient service through professional phone etiquette and effective communication skills
- Support office management tasks such as data entry, filing, and administrative support functions
- Ensure compliance with healthcare regulations related to documentation review and health information management
Skills
- Proficiency in EMR/EHR systems including Medent.
- Strong knowledge of medical terminology, ICD-9/ICD-10 coding, CPT coding, and medical billing procedures
- Experience with insurance verification processes and Medicare/Medicaid guidelines
- Excellent computer skills including Microsoft Office Suite (Word, Excel) and typing (10 key typing)
- Bilingual abilities to serve diverse patient populations effectively preferred
- Strong organizational skills with attention to detail in documentation review and record keeping
- Exceptional customer service skills with professional phone etiquette and effective communication abilities
- Previous clinic or medical office experience preferred; experience in medical administrative support or front desk roles is advantageous
- Knowledge of HIPAA compliance standards to ensure confidentiality of protected health information (PHI)
