Position Information
JOB TITLE: Spinal and Vascular Care Manager
FLSA STATUS (Exempt/Non-Exempt): Exempt
SUPERVISION RECEIVED: Reports to VP of Business Development and Marketing
SUPERVISION EXERCISED: NONE
GENERAL STATEMENT OF DUTIES
The Spinal and Vascular Care Manager plays a critical role in supporting the clinical, operational, and growth initiatives within the spinal and vascular service lines. This role focuses on improving surgical readiness, enhancing care coordination, and contributing to the successful execution of strategic initiatives that drive volume, outcomes, and patient satisfaction. The ideal candidate has a strong background in healthcare operations or clinical support, with a proven ability to collaborate across departments and support high-volume care delivery.
- Support implementation of advanced spinal and vascular procedures and care pathways
- Improve conversion of surgical referrals to completed procedures through enhanced workflow and patient coordination and direct patient engagement
- Monitor and report on performance metrics related to patient throughput and case volume
- Foster strong relationships with providers, patients, and referral sources through effective communication and service excellence
ESSENTIAL FUNCTIONS
1. Clinical & Operational Support
- Assist in the coordination of new surgical and interventional procedures in collaboration with physicians and clinical teams
- Ensure all pre-operative requirements (clearances, labs, imaging) are completed in a timely manner
- Monitor compliance with clinical protocols and safety standards
- Track patient progress through the care continuum and flag gaps in readiness or follow-up
2. Workflow Optimization & Data Tracking
- Evaluate daily and weekly surgical schedules to ensure efficient case planning and resource use
- Identify workflow bottlenecks and recommend practical solutions to enhance throughput
- Compile data and prepare reports on key performance indicators (KPI), including surgical conversions and patient satisfaction
3. Patient Engagement & Communication
- Serve as a liaison between patients, clinical staff, and surgeons to ensure clear expectations and a positive experience
- Collaborate with the Patient Liaison / Scheduling Surgery and Clinical Staff team to guide patients through the surgical process
- Help manage patient education initiatives, including handouts, FAQs, and pre/post-operative instructions
4. Growth & Referral Support
- Support outreach efforts by maintaining strong relationships with referring providers and addressing service issues as needed
- Assist in marketing and business development projects aimed at promoting spinal and vascular services
- Represent the service line during internal meetings, provider onboarding, and community-facing initiatives
EDUCATION
- Bachelor’s degree in Healthcare Administration, Nursing, or a related clinical field preferred
EXPERIENCE
- 3–5 years of relevant experience in surgical services, spine, vascular, or interventional care coordination
- Experience with quality improvement, patient navigation, or case management a plus
KNOWLEDGE
- Familiarity with EMR systems, scheduling tools, and clinical workflows
SKILLS
- Strong organizational skills with attention to detail and follow-through
- Excellent interpersonal and communication skills across diverse teams

- Ability to work both independently and collaboratively in a fast-paced healthcare environment
ENVIRONMENTAL WORKING CONDITIONS
- Normal office environment with controlled temperature, lighting, and ventilation.
- Frequent travel to various locations such as hospitals, clinics, and healthcare facilities. This may involve driving long distances.
- Exposure to different weather conditions, including heat, cold, rain, and snow, depending on the region and season.
- Working in healthcare environments where there may be exposure to infectious diseases, chemicals, and other hazards. Compliance with safety protocols and wearing protective gear may be required.
