ACCOUNTS PAYABLE SPECIALIST

A property management company specializing in multifamily affordable housing is seeking an experienced AP Specialist to work in the main office located in Tustin, CA. The Company has a very low turnover and maintains a very reputable presence in Orange County.

This position will be an instrumental part of a small accounting team and working directly with the Construction Accountant.The AP Specialist will be responsible, under the supervision of the Construction Accountant, for managing the payment cycle for subcontractors, material suppliers, and vendors.

Key tasks will include processing, coding, and paying invoices, reconciling vendor statements, managing lien waivers, and tracking costs per project. The AP Specialist will additionally assist Lead AP with monthly bill payments for assigned properties. The position is full-time, non-exempt. Experience in of 2 years in an Accounts Payable role and 1-2 years of Administrative or Clerical work are required. Familiarity with AIA billing, retention, and 1099 management preferred.

AP Specialist responsibilities include:

  • Prints and prepares checks for signature on a weekly basis and assembles with respective backup.
  • Reviews bills, invoices, and checks for accuracy during weekly processing.
  • Presents checks/invoices for signature to authorized signer. After signature, compiles for mailing by including appropriate remittance stub with check.
  • Processes all electronic payments once approved.
  • Contacts vendors for billing and invoice questions and communicates payment issues/relevant information to Accountants, Construction Accountant, Senior Accountants and Authorized Signers, as needed.
  • Researches AP payments, statements and history, as needed.
  • Saves and attaches monthly digital AP back up in accounting systems for select properties.
  • Additional duties, as assigned.

Abilities/Skills:

  • Bachelors Degree in Accounting, Business Administration, or a related field (Preferred)
  • High-school diploma or GED (Required)

  • General Computer Skills (Required)

Experience:

  • 2 years of AP experience, with a preference for Construction or heavy industry backgrounds.
  • 1-2 years of experience in Administrative or Clerical work.
  • Familiarity with AIA billing, retention, and 1099 management.
  • Yardi Voyager Experience (Preferred)
  • AvidExchange Experience (Preferred)
  • Microsoft Office Experience (Required)

Salary and Benefits:

  • $24.00-$28.00 per hour, depending on experience
