Engineering Administrative Assistant – Full-time

The Engineering Administrative Assistant works in a fast-paced engineering office performing a wide range of technical and administrative tasks—many under tight deadlines. This role requires strong attention to small details, a proactive mindset, and the ability to manage responsibilities that directly impact the company's operations and project efficiency. Your support will help keep projects moving smoothly through effective communication, document management, and office coordination.
What You'll Do:
· Uphold and advance our core values: integrity, technical excellence, exceptional service, and professional growth
· Give support to the President & Vice President at any given point in time
· Support staff, engineers, and technicians
· Assist in answering the phones and scheduling field work
· Assist with marketing content and outreach initiatives
· Maintain project filing systems, databases, and physical documentation
· Assist with the employee lifecycle—from job posting to offboarding
· Coordinate hiring and onboarding to ensure a strong start for new hires
· Help manage programs that support employee safety, engagement, and recognition
· Assist with preparing proposal and presentation details from multiple people and sources
· Manage special projects assigned by the leadership team
· Assist in preparing invoices, collections, expenses, and mileage reports
· Support timesheet review, project setup, and project cost tracking
· Performs additional duties assigned
The Engineering Administrative Assistant must keep a detailed account of their activities throughout the day and week, and maintain a clean, safe workspace and office.
What You Bring:
At a minimum, this position requires the following:
· Strong attention to detail and excellent organizational skills, and the ability to manage multiple, rapidly changing priorities
· Clear, concise communication and exhibit polite and professional customer service
· Reliability, punctuality, and strong time management
· A willingness to assist and collaborate across teams
· Must be a highly motivated self-starter and be able to perform tasks with little or no supervision
· Proficiency in Microsoft Office applications
· Excellent technical writing skills
· Capable of physically lifting 50 pounds
· Have a clean driving record
· Associate degree required; bachelor's degree preferred
· 7 years of administrative experience, ideally in an engineering or other professional services setting
· Provide three professional references
