Job Summary
Advanced Electrical Systems (AES) is seeking a reliable and detail-oriented Administrative Assistant to support accounting and payroll operations. This role is critical to maintaining accurate financial records, processing payroll, and supporting day-to-day office operations in a growing electrical contracting company.
The ideal candidate is organized, comfortable working with numbers, and able to manage multiple tasks in a fast-paced environment. This position plays a key role in supporting payroll accuracy, invoicing, and overall financial organization.
Responsibilities
- Assist with weekly payroll entry and time tracking from field crews
- Enter and manage accounts receivable, invoicing, and payment tracking
- Support basic accounts payable tracking and organization
- Maintain organized digital and physical records
- Perform accurate data entry and assist with reconciliation of financial information
- Communicate with field supervisors to ensure accurate time and job reporting
- Assist with general administrative and office support tasks as needed
Requirements
- Previous administrative or accounting support experience preferred
- Experience with QuickBooks, Microsoft Excel, or similar systems
- Proficiency in Microsoft 365 (Excel, Word, Outlook)
- Strong attention to detail and organizational skills
- Ability to manage multiple tasks and meet deadlines
- Strong communication skills
Preferred Qualifications
- Experience in construction or electrical industry
- Familiarity with payroll processing
- Strong Excel skills (data entry, basic formulas, organization)
- Experience supporting invoicing or accounts receivable
Pay & Schedule
- Hourly position: $22 – $28 per hour (based on experience)
- Full-time, Monday–Friday
