About the role
Advanced Dermatology, PLLC is looking for an experienced Operations Supervisor to lead the front end of our busy dermatology practice. Reporting to the Practice Administrator, you’ll oversee our front desk and call center teams. You’ll make sure every patient interaction is welcoming, scheduling runs efficiently and front-end financial processes are accurate. You’ll also be our go-to expert on the systems that keep the practice running.
This role is a great fit for a hands-on leader who enjoys coaching a team, solving problems and using data to make operations better.
What you’ll do
- Supervise front desk staff to provide professional, efficient patient check-in and check-out, and act as the escalation point for patient concerns
- Oversee the call center, including call handling, scheduling workflows, waitlists and outreach to fill schedule gaps
- Track call center and scheduling performance metrics, and adjust workflows to make the most of provider schedules and keep patient wait times short
- Oversee front-end revenue cycle tasks, such as copay collection and insurance verification, and partner with the billing team to keep everything accurate
- Hire, onboard, train and evaluate front desk and call center staff, and manage staffing levels and schedules
- Develop and maintain front desk and call center procedures and manuals
- Serve as super-user for the EMR, phone system and patient communication tools, and work with IT on troubleshooting and training
- Monitor department expenses, and use operational data to recommend improvements to staffing, budgeting and workflows
What we’re looking for
- At least 2 years of supervisory experience in a medical office or similar healthcare setting
- Experience overseeing front desk, scheduling and revenue cycle functions preferred
- High school diploma or GED required; an associate degree or coursework in healthcare administration, business or a related field is preferred
- Strong leadership skills, with a track record of coaching staff and holding a team to high standards
- A solid understanding of patient access, scheduling and front-end revenue cycle workflows
- Proficiency with EMRs, practice management systems, phone systems and patient communication platforms
- Comfort analyzing operational data and putting process improvements in place
- Excellent communication, organization and problem-solving skills, and the ability to manage competing priorities in a fast-paced, patient-facing environment
Schedule
Monday through Friday, staggered shifts: 7:00 a.m.–3:30 p.m. or 9:00 a.m.–5:30 p.m.
No nights or weekends.
