About the role
- The Front Desk Associate greets incoming patients and visitors, directing them to the appropriate areas in person or by phone. This role provides administrative support, manages patient records, schedules appointments, processes referrals, and ensures a smooth and efficient front office operation.
What you'll do
- Greets visitors and patients, obtain names and pertinent information, and notifies appropriate individuals of their arrival.
- Manages new patient paperwork, creates new patient charts, and assembles patient packets.
- Collects patient copays and payments, balances petty cash, and balances and closes prior days’ batch.
- Verifies insurance on EHR and upcoming appointments, scans insurance cards into patient records, and processes prior authorizations for military (e.g., Tricare Referrals, VA Choice Referrals).
- Schedules appointments using appointment reminder programs (e.g., Relatient), prints the next-day schedule, and reviews provider schedules for the next 14 days to optimize workflow.
- Answers phones, manages voicemails, transfers calls, takes messages, and routes calls to appropriate individuals.
- Prints MD notes, and orders, and processes medical records requests.
- Calls on referrals, manages faxed referrals, checks faxes, and distributes them accordingly.
- Performs routine clerical tasks, including retrieving, sorting, and delivering mail; filing and thinning patient charts; and boxing records.
- Maintains a clean and orderly reception area.
- Prepares month-end reports and completes other administrative tasks as needed.
- Coordinates logistics for providers, including getting coffee and lunch for MDs and scheduling drug rep lunches.
- Schedules asthma patients from the Biologics workbook and works in Tebra for additional administrative functions.
