The Office Aide/Student Advocate Administrative Assistant supports the daily operations of a secondary school by assisting with administrative tasks, maintaining accurate records, and providing exceptional customer service to students, staff, and families. This role serves as a liaison between students and school resources, promoting a positive and inclusive environment while addressing student needs and concerns. Responsibilities include managing front office communications, coordinating student services, monitoring attendance, and supporting school events. The ideal candidate demonstrates strong organizational skills, confidentiality, and a commitment to fostering student success and well-being.
Essential Duties/Responsibilities:
- Office Aide:
- Reception and communication: Serving as the first point of contact, answering phones, greeting visitors, and directing inquiries to appropriate staff or departments.
- Records management: Creating, maintaining, and organizing confidential student files and records, both physical and electronic.
- General clerical support: Performing duties such as typing, data entry, copying, filing, sorting mail, and ensuring office supplies are stocked.
- Operational assistance: Helping with student intake, registration, and orientation processes, as well as assisting with scheduling appointments or meetings.
- Testing support: Assisting with proctoring student assessments and tracking test completions.
- Student Advocate:
- Guidance and support: Providing one-on-one support to students to ensure they meet academic and behavioral requirements and overcome barriers to their education.
- Resource coordination: Connecting students with necessary internal (e.g., counseling, tutoring) and external community resources (e.g., housing, food, legal, health services).
- Progress monitoring: Evaluating and monitoring student progress, attendance, and grades, and participating in the development of student action plans.
- Communication and outreach: Maintaining regular communication with students, staff, and families to address concerns and promote student participation.
- Problem-solving: Assisting students in navigating school procedures and resolving personal or academic problems, sometimes including home visits if needed.
In essence, this combined role ensures the smooth operation of the administrative functions while providing critical, personalized support to help adult learners achieve their educational and career goals.
Physical Requirements – Not limited to the following:
- Remain in a stationary position 75% of the time.
- Move about inside and outside the school to access files, students and machinery.
- Constantly operate a computer and other office productivity machinery, such as a calculator, copy machine, computer, computer printer.
- Occasionally ascend/descend a ladder/stairs to access high objects or different levels of the building.
- Constantly positions self to maintain files, students, or objects.
- Have the ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- Have the ability to observe details at close and far range.
- Frequently move items weighing up to 20 pounds across the classroom for various needs.
- Constantly work in outdoor weather conditions.
Minimum Qualifications:
- High school diploma or equivalent required
- Previous related experience preferred
