What are the responsibilities and job description for the Group Air Coordinator position at ADTRAV Travel Management?
ADTRAV is seeking a Group Air Coordinator to support group air agents and management with different aspects of the reservation and reporting process. Additionally, this position will assist with the onboarding and implementation of clients, ensuring that we meet the service level standards expected by the client.
Essential Duties and Responsibilities include the following:
- Provide support to the Group Air Agents to ensure ADTRAV is meeting the service levels expected of our clients.
- Assist with onboarding, meeting launch and servicing and offboarding new clients into the group air program utilizing a project plan.
- Communicate Group Air processes, procedures and SLA requirements clearly with all clients utilizing template statements of work.

Review meeting parameters and ensure proper setup/configuration within the ADTRAV systems.
- Create support tickets to other departments requesting systems be configured according to meeting parameters
- Manage groups via the GDS and internal systems.
- Conduct quality assurance checks on meetings and air reservations, prior to meeting launch, and provide information to management.
- Ensure all department processes are properly documented, communicated, and trained on.
- Coordinate with internal teams to ensure deadlines are met and regular updates are communicated with the client – before, during and after meeting.
- Meet all KPIs as required for the position including response times to clients, meeting setup timelines, and other various deadlines discussed per meeting setup.
- Create, maintain, and generate daily, weekly and monthly reports for management and client contacts (e.g., KPI, SLA).
- Utilize various applications, including Smartsheet, Confluence, Jira and various internal applications.
- Represent ADTRAV by embracing the company values and maintaining effective working relationships with employees, partners, vendors, and clients.
- Adhere to company policies and procedures.
- Other duties as assigned.
Qualifications:
- High school diploma or equivalent required.
- At least 1-2 years of experience in a support/administrative role.
- Experience in the corporate travel industry and with GDS strongly preferred.
- Strong customer service orientation with proven ability to establish and develop relationships.
- Proficient with Microsoft Office suite (Outlook, Word, Excel, Teams).
- Excellent English written and verbal communication skills.
- Strong attention to detail with emphasis on accuracy and quality.
- Highly self-motivated and able to manage multiple tasks in a fast-paced environment and with minimal supervision.
- Able to respond quickly in a dynamic and changing environment.
- Strong analytical and critical thinking skills.
- Excellent time-management and organizational skills, with a proven ability to meet deadlines and work well under pressure.
- Ability to communicate ideas and concepts clearly and concisely, while also being open to receiving feedback and direction as needed.
- Able to present a professional and positive demeanor with internal and external customers/clients and work cooperatively.
- Ability to work remotely and meet the company home-office requirements.
- Able to sit and work at a computer for extended periods of time, without leaving the work area.
- Able to work a schedule that falls between Monday-Friday, 7am-7pm CT, as well as after hours and weekend as needed.
- Able to maintain confidentiality of company and client information.
- Able to successfully pass a credit, criminal, and/or employment reference background check.
