Schedule: Monday-Friday, 2:00 PM-5:00 PM (3 hours/day)

Pay Rate: $24.00 per hour

Dress Code: Jeans without holes; basic shirts

Position Summary

The Forms Management Specialist will support the customer site by updating, designing, and coordinating the production of forms and printed materials. This role involves working closely with the client to interpret markups, update documents in Adobe InDesign, add fillable layers to PDFs, and communicate requirements to the production team. The Specialist ensures accuracy, quality, and timely delivery of all assigned projects, while maintaining strong customer service and workflow coordination.


Key Responsibilities
  • Update proofs and documents using Adobe InDesign based on customer markups and instructions.

  • Create and update fillable PDF forms and other digital document layers.

  • Serve as a communication bridge between the client and the production team to ensure clarity on job requirements and specifications.

  • Support on-site/off-site job coordination, workflow management, and, when needed, sales support.

  • Review production proofs and collaborate with printers to ensure accurate and high-quality outputs.

  • Adhere to production schedules and meet all deadlines for assigned tasks.

  • Deliver services according to Ricoh Service Excellence standards.

  • Maintain strong professional relationships and high levels of customer interaction to support growth opportunities.

  • Perform additional duties as assigned.



Requirements
  • 3 years of experience in a related field (forms, document design, print production, etc.).

  • Customer service experience required.

  • Experience with copy/offset printing preferred.

  • Project management experience is a plus.

  • Proficiency with PC tools and automated production equipment.



Knowledge, Skills & Abilities
  • Strong proficiency with Adobe InDesign and PDF editing tools.

  • Excellent customer service and communication skills.

  • Strong organizational skills and ability to manage multiple tasks.

  • Ability to interpret complex instructions and translate them into accurate production requirements.

  • Moderate dexterity and comfort with a variety of office tools and technology.
