Job Title: Area Customer Service Coordinator 

Location: Madison, WI (Onsite)

Pay Rate: $20/hr | Onsite

Schedule: Monday-Friday, 8:00 AM-5:00 PM

Travel: Required (40-50 miles within region; personal vehicle; mileage reimbursed)

Position Summary

The Area Customer Service Coordinator supports multiple customer locations within a defined geographic region by delivering on-site service excellence for all Ricoh Managed Services accounts. This role requires strong customer service skills, adaptability, reliable transportation, and the ability to cover multiple sites—sometimes within the same day. Responsibilities include mailroom services, print services, customer communication, equipment support, data collection, and site compliance.

Key Responsibilities:

  • Operational & Customer Support
  • Support daily operations for all contracted services across assigned customer accounts.
  • Perform mailroom tasks, print production, assembly, and handling of incoming/outgoing mail.
  • Deliver toner, mail, and materials (requires walking and lifting up to 50 lbs.).
  • Replace printer toner, submit service calls, perform basic equipment troubleshooting.
  • Assist with onboarding new team members and cross-training peers.
  • Conduct routine site inspections to ensure safety and Ricoh compliance.
  • Coverage Responsibilities
  • Travel to multiple customer facilities to provide backup support for vacations, absences, training, or new account launches.
  • Adapt quickly to different work environments and customer expectations.
  • May act as temporary site lead when required.
  • Customer Service
  • Create and maintain a professional, customer-focused environment.
  • Respond quickly to customer inquiries and escalate issues when needed.
  • Gather customer feedback to improve operational processes.
  • Resolve customer issues or coordinate resolution with management.
  • Process & Procedure Management
  • Assist management with process improvement and operational best practices.
  • Review, update, and maintain Site Procedure Guides for accuracy.
  • Document and collect operational data for Monthly Operations Reviews.
  • Maintain accurate monthly expense reports and travel logs.

Required Skills & Qualifications:

  • High school diploma required; post-secondary education preferred.
  • Minimum 12 months of relevant work experience (customer service or operations).
  • Valid driver’s license, reliable personal vehicle, and clean MVR.
  • Ability to travel between sites within 40-50 miles.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and basic computer operations.
  • Strong communication, problem-solving, and customer service abilities.
  • Ability to adapt to fast-paced, changing environments.
  • Ability to perform repetitive tasks and follow set procedures.
  • Basic math and data entry skills.
  • Ability to lift up to 50 lbs., push/pull equipment on wheels up to 400 lbs., and walk between buildings or parking areas.
  • Ability to stand, walk, bend, reach, stretch, and climb as needed.

Working Conditions:

  • Office/warehouse environment with moderate noise levels.
  • Frequent walking, standing, and physical activity.
  • Frequent local car travel.
  • Schedule flexibility required (some sites may open at 6 AM or close at 7 PM; occasional weekend needs).
