ADI Business Solutions is seeking an experienced Payroll Clerk to review and reconcile payroll information for charter school clients using QuickBooks, ADP, BambooHR, and Microsoft Excel.
This position compares timekeeping, employee, and payroll data; identifies missing or incorrect information; research discrepancies; and documents findings for correction before payroll is finalized.
The ideal candidate has strong knowledge of payroll and can recognize when hours, rates, earnings, deductions, taxes, or other payroll information appears incorrect. This position does not currently process or submit payroll independently but requires the knowledge and attention to detail necessary to complete a thorough payroll review.
The Payroll Clerk reports to the Payroll Manager.
Pre-Interview Assessment Requirement
All applicants must successfully complete payroll knowledge, QuickBooks Desktop Enterprise, and Microsoft Excel skills assessments before being considered for an interview. Candidates who do not complete or pass the required assessments will not move forward in the selection process. Passing the assessments does not guarantee an interview.
Key Responsibilities
· Review payroll information for accuracy, completeness, and reasonableness before payroll is finalized.
· Compare timekeeping records, employee data, payroll reports, and payroll registers.
· Verify employee hours, pay rates, salaries, overtime, stipends, additional earnings, deductions, taxes, garnishments, and paid time off.
· Use Excel tools and formulas, including MATCH and XLOOKUP, to compare payroll data, reconcile employee lists, and identify missing or inconsistent records.
· Identify employees, hours, earnings, deductions, or other payroll information that did not transfer correctly between systems.
· Research discrepancies to determine the likely cause before recommending or requesting a correction.
· Recognize potential issues involving regular and overtime pay, exempt and nonexempt employees, taxable and non-taxable earnings, pretax and post-tax deductions, prorated pay, retroactive pay, and supplemental earnings.
· Review payroll previews and comparison reports to identify unusual or unexpected changes in gross and net pay.
· Clearly document discrepancies, supporting information, and recommended next steps for the Payroll Manager.
· Follow established payroll review procedures, approval requirements, deadlines, and internal controls.
· Communicate professionally with clients, managers, employees, and internal team members when additional information or clarification is needed.
· Maintain accurate payroll review records and protect confidential employee, compensation, banking, tax, and personal information.
· Assist with payroll reconciliations, reporting, audits, and quarter-end and year-end reviews.
· Perform other payroll-related duties as assigned.
Required Qualifications
· At least two years of payroll experience.
· Strong working knowledge of payroll concepts, including:
o Regular and overtime pay calculations
o Salaried and hourly payroll
o Exempt and nonexempt employees
o Federal and state payroll taxes
o Taxable and non-taxable earnings
o Pretax and post-tax deductions
o Garnishments and levies
o Paid time off
o Prorated, retroactive, and supplemental pay
o Payroll reconciliation and balancing
· Ability to recognize when payroll information appears incorrect and research the issue before requesting or recommending a change.
· Strong Microsoft Excel skills, including MATCH, XLOOKUP, formulas, sorting, filtering, conditional formatting, and data reconciliation.
· Experience with QuickBooks Payroll, ADP, BambooHR, or comparable payroll and HR systems.
· BambooHR experience is highly preferred.
· Strong attention to detail and the ability to accurately review large amounts of employee and payroll data.
· Strong mathematical, analytical, and problem-solving skills.
· Ability to manage multiple client payroll reviews, competing priorities, and strict deadlines.
· Strong organizational, documentation, and recordkeeping skills.
· Strong written and verbal communication skills.
· Ability to maintain confidentiality and exercise sound judgment when handling sensitive payroll information.
· Dependable, accountable, and able to follow established procedures and internal controls.
Terms and Benefits
This is a full-time, hourly position. Upon successful completion of a 90-day probationary period, employees become eligible for accrued paid time off and holiday pay.
