Get a sneak peek into life at ADESA!Role and TeamReporting to the Mechanic Shop Manager or designated manager, the Mechanic Shop Clerk will perform clerical duties, such as ordering parts for the mechanic shop, as assigned in accordance with corporate guidelines.Must know, practice, and ensure that company policies, procedures, and applicable state and federal laws are followed always.ResponsibilitiesPerform various general administrative duties including data entry, data verification, preparing reports and correspondence for the supervisor/managerCreate and maintain customer files, both digital and hardcopyOrder parts according to approved estimates and repair orders scheduled for the mechanic and body shopTrack and prepare parts receivedMust be familiar with customer account contracts and knowledgeable of pre-authorized amounts for repair transactions as described in the account contractPost repair and parts transactions to vehicle account in V-Trace, i.e. mechanical repairs, process customer billing, parts, PSI's, etc. and print reportsCompile information needed for various reports and assist in coordinating project-oriented duties at the discretion of the supervisorCommunicate with other departments to ensure repair transactions are authorizedRespond to customer inquiries pertaining to vehiclesSet up estimates and appointments with outside vendors/sublet servicesProcess payments to vendors for parts and services for shopPost updates and estimates in the ADESA Inspections PortalMeet monthly and year end deadlines for supply inventory reporting to accountingConduct or assist with shop inventoryScan, code, and audit invoices for paymentProvide accurate, friendly quality service to customers when processing customer transactionsEnsure all shop area conditions are not a potential threat to employee or customer safetyEmployee(s) will be required to follow any other job-related instructions and to perform any other job-related duties requested by any person authorized to give instructions or assignmentsSkillsStrong communication and interpersonal skills.Detail oriented and consistent in the execution of job dutiesAbility to maintain quality and quantity of work producedAbility to work in a high production environmentAbility to understand and adhere to Company policies in all areas.Ability to exercise good business judgment and discretion to analyze and address opportunities.Self-motivated in order to drive efficiency, teamwork, and the best customer experience possible.Qualifications Clerk I High School Diploma or GED preferred1 year of administrative experience is requiredAuction knowledge and experience is a plusProficient computer skills required, Google Suite experience preferredHigh level of organization and accuracyEffective interpersonal communications skillsMust have the ability to interact positively with othersMust be 18 years of age with a valid driver's license and driving record that meets company requirementsMust have a demonstrated ability to read, write, and communicate effectively in EnglishWell-organized and responsible with an aptitude in problem-solving with strong multitasking skillsAbility to adapt to changing work environments, including exposure to excessive weather conditions (heat/cold).
