Job Summary
We are seeking a detail-oriented and proactive professional to join our team as a Client Services & Accounting Associate. This role combines accounting support, client services, and administrative responsibilities to ensure smooth operations and excellent client experiences. The ideal candidate is organized, communicative, and comfortable balancing multiple priorities in a fast-paced environment. This is an in-person role located at our office in San Ramon or Pleasant Hill, CA(depending on Candidate's proximity to location).
Key Responsibilities
Client Services
- Serve as the first point of contact for clients by phone, email, or in person.
- Coordinate client onboarding, scheduling, and document requests.
- Maintain strong client relationships by providing timely responses and follow-up.
- Support client communications related to billing, services, and project updates.
Accounting Support
- Assist with bookkeeping tasks such as data entry, reconciliations, and invoice processing.
- Prepare financial reports, spreadsheets, and client statements under the supervision of senior staff.
- Support tax preparation by organizing and inputting client-provided data.
- Maintain accuracy and confidentiality of financial records.
Administrative Support
- Manage calendars, schedule meetings, and coordinate office activities.
- Prepare correspondence, proposals, and reports.
- Maintain electronic and physical filing systems for client records and firm documents.
- Oversee daily office responsibilities, purchase supplies, and communicate with vendors for coordination.
- Executive Support: Work closely with the CEO and provide daily support to ensure efficient management of executive responsibilities. Assist with scheduling, communications, and coordination of administrative tasks to facilitate the CEO’s workflow and priorities.
Qualifications
Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
1–3 years of experience in accounting, administrative, or client service roles (CPA firm or professional services experience a plus).
Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with QuickBooks or similar accounting software preferred.
Working knowledge of Quickbooks
Strong communication, organizational, and time-management skills.
Ability to maintain confidentiality and handle sensitive information.
Team-oriented mindset with the ability to work independently.
