We are seeking a detail-oriented and energetic New Patient Coordinator / Administrative Assistant to join our team. This vital role involves managing new patient intake, coordinating appointments, and providing exceptional administrative support within a busy medical practice. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a thorough understanding of medical office procedures to ensure a seamless patient experience from initial contact through appointment scheduling and documentation.
- Serve as the primary point of contact for new patients, guiding them through the intake process with professionalism and empathy.
- Verify insurance coverage, including Medicare and other health plans, ensuring accurate documentation for billing purposes.
- Schedule appointments efficiently using ECW while maintaining clinic calendars.
- Collect and review patient information, including medical history, insurance details, and necessary documentation such as CPT codes, ICD-10/ICD-9 codes, and care plans.
- Manage medical records filing, data entry, and maintain accurate documentation review to support clinical operations.
- Assist with billing processes related to medical coding, medical billing, and insurance verification to optimize revenue cycle management.
- Provide excellent patient service by demonstrating phone etiquette, handling multi-line phone systems, and addressing patient inquiries promptly.
- Support front desk operations by managing appointment scheduling, patient check-in/out procedures, and maintaining a welcoming environment.
- Utilize computer skills in Microsoft Office suite for daily administrative tasks.
- Uphold HIPAA compliance standards to ensure patient confidentiality and secure handling of health information.
Candidates should have prior experience in a medical office setting with familiarity in clinic or dental environments preferred. Essential skills include proficiency in EMR systems such as Epic or Meditech; knowledge of medical coding (ICD-10/ICD-9), CPT coding, and insurance verification; and strong clerical abilities including filing, data entry, and multi-line phone management. Bilingual candidates are encouraged to apply. A background in healthcare administration or medical office management is highly desirable.
