Job Title: Senior Payroll Specialist
Location: Chicago, IL
Compensation: $90,000 - $105,000 / Annually
Benefits: This position is eligible for medical, dental, vision, and 401(k).
Summary: The Senior Payroll Specialist will help maintain a full-cycle payroll process, including entering data and pay transactions into the payroll system timely, resolving discrepancies, and validating and reporting payroll data for various client entities.
Roles and Responsibilities:
· Process multi-state, payroll for multiple client entities on different pay frequencies and schedules.
· Understand Overtime (OT) and Meal Break regulations in different states.
· Monitor state compliance reports, which may include requesting new state IDs, reviewing missing IDs, and communicating with state departments.
· Handle payroll tax filings, deductions, and garnishments as required.
· Audit and process HR data entries, such as new hires, terminations, raises, bonuses, and commissions.
· Review timesheets and ensure meal and breaks are noted.
· Help review quarterly and year-end reports for all entities.
· Assist with new client setup in ADP Workforce Now or Paycom.
· Prepare ad-hoc payroll reports for accounting or other departments as requested.
· Assist with creating policies and procedures related to the administration of the company's payroll processes and services.
· Stay updated on payroll best practices, tax laws, and regulatory changes.
· Other ad-hoc projects, duties, and responsibilities as assigned.
Qualifications:
· Bachelor's degree in a related field required.
· 8-10 years of experience working in Payroll, Human Resources knowledge a plus.
· U.S. payroll processing experience required; international processing experience preferred.
· Strong understanding and knowledge of ADP Workforce Now is required; Paycom is preferred.
· Experience with processing and handling multi-state employers required.
· Microsoft Office (Intermediate Excel knowledge preferred including Pivot Tables and Lookup formulas).
· Strong understanding of agency tax setups.
· General understanding of accounting or GL related issues to payroll.
· Experience in managing multiple priorities, administrative coordination, and logistics.
· Excellent interpersonal, written, and verbal communication skills.
· Be trustworthy and able to exhibit a high degree of confidentiality and integrity.
· Motivated, team-oriented self-starter who has the desire and ability to be a leader.
· Must have a positive, hands-on attitude and be willing to roll-up their sleeves to do any type of job and everything needed to support the efforts of the team.
· Must function well in a fast-paced environment that constantly changes.
