Job Description:
The Secretarial Manager oversees and supports a team of legal secretaries, ensuring the delivery of exceptional administrative support to attorneys and the firm’s leadership. This individual will be responsible for daily team operations, workload allocation, performance management, and professional development of staff. The role requires strong leadership, discretion, and a focus on fostering a positive, team-oriented culture.
Key Responsibilities:
- Supervise a team of legal secretaries, managing workloads, performance, and professional growth.
- Prepare weekly schedules, oversee attendance, and ensure adequate coverage during peak periods.
- Conduct performance evaluations, recommend training and development opportunities, and manage employee relations.
- Partner with management on recruitment, onboarding, and continuous improvement initiatives.
- Act as liaison between attorneys, secretaries, and firm administration to promote effective communication and problem resolution.
- Review departmental processes and recommend workflow enhancements to improve efficiency and service quality.
- Maintain personnel records, track productivity reports, and ensure compliance with firm policies and procedures.
Qualifications:
Required:
- High school diploma or equivalent.
- Minimum of 5 years of experience providing administrative or legal support within a law firm or professional services setting.
- Proven leadership or supervisory experience managing a team.
- Strong communication, organizational, and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality, exercise sound judgment, and adapt in a fast-paced environment.
Preferred:
- Associate’s degree or higher.
- Experience with timekeeping and document management systems (e.g., iManage, NetDocs).
- Previous experience supervising 20 or more staff members in a mid- to large-size law firm.
