Key Responsibilities
Billing & Invoice Processing
- Generate and process customer invoices accurately and in a timely manner
- Review billing documentation to ensure accuracy prior to invoice submission
- Submit invoices through customer portals, email, or other required platforms
- Maintain organized billing records and supporting documentation
- Respond to customer inquiries regarding invoices, billing details, and account status
- Research and resolve billing discrepancies and disputed invoices
- Collaborate with internal departments to resolve issues impacting billing or payment timelines
- Assist with billing reconciliations and account analysis
- Support month-end close activities related to billing and accounts receivable
- Prepare billing reports and provide updates to management as needed
- Maintain accurate and organized financial records
- Ensure compliance with company policies and internal controls
- Support the accounting team with additional reporting and administrative tasks
- Identify opportunities to improve billing processes and efficiencies
- 2 years of billing, invoicing, or accounts receivable experience preferred
- Experience with ERP or accounting systems preferred (Deltek preferred)
- Strong Excel skills including formulas, data entry, and reconciliations (Pivot tables and V-LOOKUPS)
- Excellent communication and customer service skills
- High attention to detail and strong organizational abilities
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
