Job Description:
Addison Group is hiring on behalf of our client for an Administrative Assistant to support a dynamic Operations & Finance team. This individual will play a key role in ensuring smooth day-to-day administrative and operational functions while partnering closely with internal stakeholders and leadership.
Key Responsibilities:
- Provide administrative and operational support to the finance and operations team, ensuring efficient workflow and organization
- Enter and manage financial data such as purchase requests, invoices, and receipts within an ERP system
- Validate vendor and supplier information in alignment with internal compliance procedures
- Coordinate submission and tracking of agreements through internal contract systems
- Assist with outreach regarding outstanding payments or unidentified transactions
- Support departmental budgeting efforts through data entry and tracking activities
- Prepare and distribute documentation including tax forms and official correspondence
- Manage incoming and outgoing mail, including sorting, distribution, and special handling requirements
- Offer general office support such as filing, copying, and supply management
- Serve as backup support for senior administrative staff as needed
- Oversee employee commuter benefit program administration
- Assist with coordination of internal meetings, team events, and occasional external functions
Qualifications:
- 4 years of administrative experience in a professional office environment
- Prior exposure to invoicing, purchase orders, or vendor coordination strongly preferred
- Experience supporting senior leadership or executives is a plus
- Proficiency in Microsoft Office Suite; experience with ERP systems (e.g., Workday, Concur, or similar) is a plus
- Strong interpersonal skills with the ability to communicate effectively across all levels of an organization
- Highly organized with strong attention to detail and sound judgment
- Associate degree required, Bachelor's degree is preferred
