Job Description:
We are seeking a dependable, organized, and patient-focused Patient Access Coordinator to oversee front desk operations within our behavioral health clinic. This role is responsible for managing the full patient access process, including scheduling, insurance verification, patient communication, and ensuring a smooth and efficient clinic workflow.
The ideal candidate takes ownership of the front desk, is detail-oriented, and is comfortable managing multiple responsibilities in a fast-paced healthcare environment while maintaining a high level of patient satisfaction.
This role may also support additional administrative functions as needed to ensure all areas of clinic operations are effectively covered.
Key Responsibilities:
- Manage all front desk operations and daily workflow
- Serve as the primary point of contact for patients, providing a professional and welcoming experience
- Handle appointment scheduling, rescheduling, confirmations, and calendar coordination
- Perform insurance verification and eligibility checks (Medicaid, Medicare, and commercial plans) prior to appointments
- Register new patients and ensure accurate demographic and insurance information
- Answer and manage incoming calls, voicemails, and patient inquiries in a timely manner
- Receive and manage patient requests, including medication refill requests, and ensure timely and accurate communication with providers
- Coordinate communication between patients, providers, and referral sources
- Monitor schedules to reduce no-shows, cancellations, and gaps
- Collect and document required forms and information prior to visits
- Support and maintain a high level of patient satisfaction and overall clinic experience
- Manage administrative tasks including faxes, emails, and document handling
- Identify and communicate any scheduling, eligibility, or patient flow issues proactively
- Provide support across clinic operations as needed to ensure all areas are functioning efficiently
Requirements:
- Previous experience in a medical front desk, patient access, or healthcare setting
- Strong communication, organization, and multitasking skills
- Ability to manage a high-volume workflow with attention to detail
- Comfortable working with scheduling systems and electronic health records
- Reliable, punctual, and able to take ownership of responsibilities
Preferred Qualifications:
- Experience with insurance verification and eligibility checks
- Familiarity with Medicaid/Medicare
- Experience in behavioral health or healthcare setting
- Bilingual is a plus
