We are a growing Construction Company in Croydon, Pa seeking a dependable and well organized office secretary to join our team . This vital role involves answering phone calls managing paperwork, filing for permits,managing desk activities, coordinating communication, maintaining records, entering estimates, and assisting with invoicing. The ideal candidate will bring a positive attitude, exceptional organizational skills, and a proactive approach to handling diverse responsibilities, Your energy and attention to detail will help create an efficient workplace where everyone can thrive.

Responsibilities

  • Answer incoming calls
  • Manage desk duties including scheduling appointments, receiving deliveries.
  • Perform data entry, filing, and record keeping using Quickbooks, Google Workspace, and other office software to ensure accurate documentation.
  • Support bookkeeping activities using QuickBooks, including invoicing, expense tracking, and basic financial record management.
  • Assist with calendar management and scheduling for staff members or executives to optimize time utilization.
  • Handle clerical tasks such as proofreading documents, organizing files, and managing office supplies to maintain an organized workspace.

Experience

  • Strong computer literacy with expertise in Quickbooks, Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry skills.
  • Proven organizational skills with the ability to prioritize tasks efficiently.
  • Experience with bookkeeping software such as QuickBooks is highly desirable.
  • Construction office experience a plus
  • Excellent phone etiquette and customer service skills to foster positive interactions with visitors and callers.
  • Clerical or administrative experience that includes managing multi-line phone systems, calendar coordination, and document proofreading will set candidates apart.
