We're looking for a detail oriented, service focused individual to add to our corporate administrative team. This position is part time with potential to work towards full time consideration.

Individuals should have strong experience utilizing all business platforms including Outlook, Excel, Word, and other data entry software. Additionally, candidates should have strong communication and organizational skills. with experience utilizing phone and online conferencing systems. This position will work directly with company executives and the utmost professionalism is expected.

POSITION SUMMARY: Responsible for producing correspondence, transcription of committee reports and minutes, scheduling. Maintains client account files and relationships in conformity with bank policy and regulatory requirements.

PRIMARY ACCOUNTABILITIES AND RESPONSIBILITIES: (85%)

1. Transcribes minutes of various committee meetings. Prepares agendas and participant packets for meetings listed above as well as maintaining committee files. Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.

2. Types correspondence including memos, letters, mailings and file comments. Prepares outgoing mail and correspondence, including e-mail and faxes.

3. Answers and screens manager's and/or region telephone calls, and arranges conference calls. Coordinates manager's and/or region schedule and makes appointments. Greets scheduled visitors and conducts to appropriate area or person.

4. Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer. Organizes and maintains file system, and files correspondence and other records. Assists with mailings. Conducts research on file history in preparation for client meetings or in response to auditor inquiries.

SECONDARY DUTIES AND RESPONSIBILITIES: (15%)

  1. Approves payment requests from invoices for payment.
  2. Filing and file maintenance.
  3. Makes copies of correspondence or other printed materials.
  4. Orders and maintains supplies, and arranges for equipment maintenance.
  5. Other duties as may be assigned
