The Program Coordinator supports the end-to-end intake, coordination, and administrative processes that enable smooth program delivery at Adam’s Purpose. This role ensures participants are effectively onboarded, workflows run reliably across programs, and data is accurate and actionable. The position plays a critical role in maintaining operational consistency in a growing, mission-driven environment where success is defined by efficient intake conversion.
1. Intake Management & Participant Onboarding- Manage the full intake process, including outreach, intake calls, onboarding, and tracking of forms and enrollment status
- Monitor program capacity and ensure timely progression of participants through intake stages
- Maintain clear and consistent communication with participants throughout onboarding.
- Provide administrative support across scheduling, outreach, and internal coordination
- Support outreach activities through communication and engagement efforts
- Ensure organized tracking of tasks, timelines, and coordination workflows.
- Coordinate logistics for outreach events, including scheduling and guest list management
- Support on-the-ground execution of events
- Track donor interactions and payments, ensuring accurate and updated records
- May occasionally need to assist on Saturday events, typically only once or twice a month
- Ensure participants meet requirements and are prepared prior to program start
- Collaborate with the Program Manager to maintain smooth workflow execution
- Maintain accurate and up-to-date participant records in CRM and tracking systems
- Track enrollment, participation, and program data against timelines
- Create reports and summaries to support program and leadership decisions on a timely manner
Required
- Experience in administrative coordination, program support, or intake coordination within a nonprofit, healthcare, or community-based setting
- Experience in CRM and workflow tools (e.g., monday.com, Salesforce, or similar platforms
- Strong data entry and data management skills with high attention to accuracy and detail
- Ability to manage multiple workflows and timelines with consistency and follow-through
- Strong communication and coordination skills for engaging participants, teams, and external stakeholders
Preferred
- Experience in behavioral health, community outreach, or social service programs
- Exposure to event coordination or logistics management
- Familiarity with donor tracking or development support processes
- Demonstrates empathy and professionalism when working with grief-impacted individuals
- Detail-oriented and highly organized in managing data and workflows
- Task-driven with strong accountability and follow-through
- Collaborative and responsive to team and participant need
