Job Title: Auction Operations Coordinator
Position Summary
The Contract & Auction Operations Coordinator plays a critical role in ensuring auctions are accurately prepared and presented to buyer and sellers. This position is responsible for reviewing and processing contracts, uploading auction documentation and photos, maintaining quality standards for listings, and serving as a key liaison between the sales team and auction operations. The ideal candidate is highly organized, detail-oriented, and committed to delivering a professional customer experience.
Contract Administration
- Review seller contracts for accuracy, completeness, and compliance with company requirements.
- Upload and organize contracts and supporting documentation within company systems.
- Track contract status and ensure all required documents are received prior to auction setup.
- Communicate with internal teams regarding contract corrections or missing information.
Auction Listing Quality Control
- Upload photos, descriptions, and auction-related content to auction platforms.
- Review photos to ensure proper quality, orientation, clarity, and consistency with company standards.
- Verify auction item descriptions for accuracy, grammar, completeness, and presentation quality.
- Work with sales representatives and clients to obtain additional information, titles, photos, or corrections as needed.
Sales Team Support
- Collaborate closely with the sales team throughout the auction setup process.
- Assist with onboarding new auction projects and ensuring timely completion of pre-auction tasks.
- Provide updates regarding contract status, listing progress, and outstanding requirements.
- Support sales initiatives by helping maintain accurate and professional auction presentations.
Process & Compliance
- Maintain organized digital records of contracts, photos, and auction documentation.
- Follow established procedures and quality standards for auction setup and publication.
- Identify opportunities to improve efficiency, accuracy, and overall workflow.
- Ensure deadlines are met to support successful auction launches.
Qualifications
Required
- High school diploma or equivalent.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office Suite and cloud-based software platforms.
- Ability to manage multiple projects and deadlines simultaneously.
- Strong proofreading and quality control skills.
Preferred
- Experience in auction, real estate, sales support, contract administration, or operations roles.
- Familiarity with CRM systems and/or auction software.
- Experience working with Titles and UCC filings.
- Experience reviewing contracts and maintaining digital records.
