SUMMARY:
As the Meals on Wheels Coordinator, you’ll oversee the day-to-day coordination and delivery of the Home Delivered Meals in Sioux Falls. This role ensures efficient meal-delivery operations, supports and supervises volunteers and drivers, maintains accurate program records and reports, and serves as a key point of contact for participants, families, and community partners.
ESSENTIAL FUNCTIONS:
- Coordinate the daily operations of the Meals on Wheels program, including participant intake, route assignments, delivery logistics, and ensuring timely and efficient meal delivery to homebound participants.
- Conduct eligibility assessments and initiate participant intake documentation within required timelines while maintaining accurate and confidential participant records.
- Maintain and update participant information, delivery routes, and meal counts to ensure accurate service tracking and efficient coordination of volunteers and drivers.
- Prepare and manage daily meal delivery logistics, including coordinating with kitchen staff on meal counts, assisting with meal packing when necessary, and ensuring delivery materials are ready for volunteers and drivers.
- Recruit, onboard, train, and supervise volunteers and drivers supporting meal delivery operations while ensuring consistent coverage for delivery routes.
- Build and maintain positive relationships with volunteers, participants, families, and community partners while addressing questions, resolving concerns, and supporting a collaborative service environment.
- Track meal delivery data and maintain accurate records within required organizational and state reporting systems, ensuring reports and documentation are completed accurately and on time.
- Support the evolution of program processes by helping integrate technology and digital tools, including participation in the development and implementation of Meals on Wheels–specific software systems.
- Monitor meal delivery operations to ensure compliance with health, safety, sanitation, and program requirements while identifying opportunities for operational improvement.
- Support organizational initiatives by assisting with outreach, community partnerships, program promotion, fundraising events, and other duties as assigned by leadership.
EDUCATION & EXPERIENCE:
- Bachelor’s degree in social work, human services, public health, business, or a related field preferred.
- High school diploma or GED required.
- Valid Driver’s License
KNOWLEDGE, SKILLS & ABILITIES:
Demonstrated strong organizational, communication, and problem-solving skills with the ability to coordinate multiple moving parts in a fast-paced service environment. This role requires the ability to effectively recruit, train, and support volunteers while coordinating logistics related to meal delivery routes and participant services. The coordinator must be detail-oriented and comfortable working with technology and data systems to maintain accurate records, complete reporting requirements, and support evolving digital tools used within the Meals on Wheels program. Success in this role also requires the ability to build trusting relationships with older adults, families, volunteers, and community partners while demonstrating empathy, professionalism, and a strong commitment to confidentiality and service. The individual must be adaptable, able to prioritize competing responsibilities, and capable of exercising sound judgment while supporting the mission and services of Active Generations.
PHYSICAL REQUIREMENTS & WORKING CONDITIONS:
- Primarily work is performed in an office environment with regular use of a computer, phone, and other standard office equipment.
- Requires the ability to sit for extended periods while performing computer and administrative tasks.
- Occasional standing, walking, bending, and reaching may be required when organizing files, scanning documents, or supporting program activities.
- Must be able to lift and carry materials weighing up to approximately 20 pounds on occasion.
- Requires the ability to communicate effectively in person, by phone, and electronically with participants, staff, and community partners.
- Occasional travel locally to fill in on route delivery as needed.
