We are seeking a detail-oriented, proactive Manager of Finance & Operations to oversee core financial processes and ensure smooth day-to-day operational functioning that supports our mission and our member companies.
Position Summary
The Manager of Finance & Operations is responsible for managing the organization’s financial workflows—including payroll, accounts receivable, accounts payable, and routine accounting—as well as key operational functions including membership administration, occupancy logistics, and sublease management. This role ensures financial accuracy, operational efficiency, and high-quality support for member companies and internal stakeholders.
Key Responsibilities
Finance & Accounting
- Manage bi-weekly or monthly payroll processing, ensuring accuracy, compliance, and timely submission.
- Oversee accounts receivable processes, including invoicing, payment tracking, collections, and member billing.
- Process accounts payable, ensuring prompt and accurate vendor payments and proper documentation.
- Prepare and post monthly journal entries, maintain the general ledger, and support month-end and year-end close.
- Assist with annual financial audits, providing documentation, responding to auditor requests, and ensuring readiness.
- Support budgeting, cash flow monitoring, and financial reporting as needed.
Membership Management
- Serve as the primary point of contact for member onboarding, offboarding, and ongoing account administration.
- Maintain accurate membership records, billing details, and membership agreements.
- Ensure compliance with membership policies and service-level expectations.
Operations & Facilities
- Assist with occupancy logistics, including space assignments, office and lab access, move-ins/move-outs, and coordination with facilities staff.
- Manage sublease agreements, including documentation, renewals, rent adjustments, and communication with subtenants.
- Coordinate with facilities, lab operations, or external vendors to ensure well-maintained, safe workspaces.
- Assist with procurement and operational budgeting for supplies, equipment, and services.
Qualifications
Required
- Bachelor’s degree in Accounting, Finance, Business Administration, or equivalent.
- 3–5 years of experience in accounting, finance operations, or similar roles.
- Proficiency with accounting software (e.g., QuickBooks, Sage Intacct, NetSuite) and payroll systems.
- Strong understanding of GAAP and standard accounting procedures.
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
- Strong communication and customer-service orientation.
Preferred
- Experience in nonprofits, biotech, innovation centers, co-working/lab environments, or real estate operations.
- Knowledge of membership management or CRM systems.
- Experience with lease or sublease administration.
