Position Summary

Reporting to and working closely with the COO/CFO, the Portfolio Operations Analyst will play a central role in designing, maintaining, and scaling Activate Capital’s portfolio data infrastructure. This role is focused on portfolio company data aggregation, organization, quality control, and system integration across the firm’s core platforms to enable efficient reporting, analytics, and decision-making.


This role works cross-functionally with the investment, finance, and operations teams and touches many aspects of the firm. This is not an investing role and is not intended as a path toward an investment position, but rather a hands-on data and operations role within a venture capital platform.


Core Responsibilities


Portfolio Data Management & Systems

  • Own the end-to-end portfolio data lifecycle, from portfolio company financials & KPI collection through data ingestion, validation, normalization, and export for downstream workflows
  • Maintain and improve data quality, completeness, and consistency across portfolio- and fund-level datasets
  • Oversee and coordinate data flows across internal and third-party tools, including:
  • Portfolio monitoring and cash flow platforms
  • ESG and impact data collection tools
  • Deal sourcing and CRM databases
  • Due diligence and data room systems
  • Design, document, and implement best practices for portfolio data storage, version control, and governance
  • Build and maintain internal data tables, models, and views that serve multiple use cases (internal reporting, LP requests, ESG reporting, and marketing)


Analytics, Reporting & Enablement

  • Aggregate and transform portfolio and fund data into clear, structured outputs (tables, charts, dashboards, reports, and presentations) for internal and external stakeholders
  • Support quarterly and annual reporting processes by ensuring accurate, timely portfolio and fund data availability
  • Respond to ad hoc investor and internal data requests, including portfolio company financials, KPIs, and ESG metrics
  • Support the collection, validation, and aggregation of impact metrics for the firm’s annual sustainability report, working with third-party data providers as needed
  • Assist with light analytical work related to portfolio and fund performance, as well as ad hoc analyses and presentations

 

Process Improvement & Automation

  • Continuously evaluate existing workflows to identify opportunities to automate, standardize, or streamline data collection, validation, and reporting processes
  • Build and operationalize tools, templates, and integrations (e.g., spreadsheets, lightweight databases, system connectors) to reduce manual work and error risk
  • Partner with finance and investment teams to ensure systems and processes scale as the portfolio grows


Additional responsibilities

Critical Skills/Traits

  • Strong interest in data operations, analytics, and systems design
  • Advanced Excel skills are required; comfort working with structured datasets, formulas, models, and data transformations
  • Familiarity with data organization, quality control, and documentation best practices
  • Familiarity with AI (not just productivity tools, but AI enhanced/agentic operational tools from third parties)
  • Working understanding of financial statements and core accounting concepts (valuation knowledge a plus, not required)
  • High attention to detail with strong organizational and time management skills
  • Proactive, self-directed problem solver who enjoys building, testing, and improving processes
  • Comfortable working cross-functionally and communicating with both technical and non-technical stakeholders
  • Curious about venture capital and portfolio company operations, without seeking an investing role

 

Experience

  • 1-3 years of experience in a data analyst, operations analyst, finance ops, business analytics, or similar role
  • Experience may come from a company, accounting/consulting firm, bank, or analyst program
  • Bachelor’s degree required (Finance, Accounting, Economics, Data, Engineering, or similar quantitative field preferred)
