Duties
- Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth
- Operate multi-line phone systems, answer inquiries, and direct calls accurately using proper phone etiquette
- Perform data entry, maintain filing systems, and ensure all documents are accurately proofread and organized
- Utilize Microsoft Office Suite and Google Workspace to prepare reports, correspondence, and presentations
- Support office management tasks including calendar management, scheduling appointments, and coordinating meetings
- Handle basic bookkeeping using QuickBooks or similar accounting software to assist with invoicing and expense tracking
- Provide customer support by addressing inquiries promptly and efficiently via phone or email
- Assist with clerical duties such as photocopying, scanning, filing, and maintaining office supplies inventory
- Support personal assistant tasks as needed, including managing calendars and organizing travel arrangements
Qualifications
- Proven experience in an office environment with strong clerical or administrative background
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools
- Familiarity with QuickBooks or other bookkeeping software is preferred
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
- Strong written and verbal communication skills; bilingual abilities are a plus
- Demonstrated customer service skills with professional phone etiquette
- Experience working as a receptionist or medical/dental receptionist is advantageous
- Ability to handle sensitive information discreetly with high attention to detail
- Prior experience with office management tasks such as calendar coordination and data entry
