Position Overview:
We are seeking a highly organized and detail-oriented Maintenance Coordinator to support the coordination of maintenance operations across our property portfolio. This role requires strong communication, excellent follow-through, and the ability to manage multiple vendor and homeowner interactions simultaneously.
This is an ideal opportunity for someone with administrative experience who thrives in a structured environment. Knowledge of residential maintenance or repair work is a plus, but not required.
The position includes occasional on-site visits to verify repair completion or meet vendors.
Key Responsibilities:
- Process and track incoming maintenance work orders to completion
- Coordinate and schedule repairs with vendors, contractors, and homeowners
- Communicate effectively to ensure timely and satisfactory completion of all tasks
- Verify repair completion and document results
- Match contracts/proposals to vendor invoices and flag discrepancies
- Request and organize estimates for current projects and capital planning (CapEx)
- Maintain accurate records and provide consistent follow-up on open tasks
- Perform occasional on-site visits as needed to support maintenance operations
Qualifications:
- Exceptional attention to detail and organizational skills
- Strong follow-through and task ownership
- Effective written and verbal communication skills
- Proficient in using email, spreadsheets, and basic office tools
- Ability to manage multiple priorities in a dynamic environment
- Comfortable working both independently and as part of a team
- Knowledge of property maintenance, repair processes, or vendor coordination is a bonus
- Valid driver’s license and reliable transportation (for occasional site visits)
