Overview: We are seeking a detail-oriented and highly organized Administrative Assistant & Bookkeeper to join our accounting firm. The ideal candidate will be responsible for supporting the administrative operations of the firm while assisting with light bookkeeping and tax-related tasks. This role requires a versatile team player who can manage a variety of responsibilities while maintaining a professional and welcoming atmosphere for clients.
Key Responsibilities:
Primary duties include:
- Greet clients in a friendly and professional manner, ensuring a positive client experience.
- Answer phone calls and emails, addressing inquiries or directing them to the appropriate team member.
- Set up tax organizers for clients and assist with gathering necessary documentation for tax preparation.
- Schedule and coordinate meetings and appointments for clients and team members.
- Maintain the cleanliness and organization of the office area, ensuring a professional environment.
- Assist with filing, scanning, and organizing paperwork as needed.
- Perform other general office duties such as data entry, document management, and correspondence.
- Process accounts receivable (AR) by tracking invoices and following up on outstanding payments.
- Support the preparation and organization of client documents for tax filing and other accounting services.
- Help with data entry related to payroll, expenses, and other financial activities as needed.
- Assist office team members with light bookkeeping tasks, including maintaining accurate records of financial transactions.
Qualifications:
- High school diploma or equivalent required; additional accounting or administrative coursework preferred.
- Previous experience in an administrative role, preferably in an accounting or bookkeeping environment.
- Basic knowledge of accounting principles and experience with bookkeeping software is a plus.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent written and verbal communication skills.
- Ability to maintain a high level of confidentiality and professionalism.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Attention to detail with a proactive approach to problem-solving.
Physical Requirements:
- Ability to sit or stand for extended periods of time.
- Occasional lifting of files or office supplies (up to 25 lbs).
Job Type: Temp-to-hire
Pay: $14.00 - $15.00 per hour
