Job Description
The Quality Assurance Documentation Specialist plays a key role in ensuring food safety and quality standards are consistently met by serving as the lead point of contact for all quality assurance and food safety documentation. This position focuses on managing supplier approval documentation, maintaining specifications and Food Safety Management System (FSMS) records, and supporting audits and training initiatives to uphold compliance with customer, certification, state, and federal requirements.
Responsibilities
- Manage and organize all documents related to the supplier approval program, ensuring records are complete, accurate, and up to date.
- Maintain all product and process specification documentation, verifying that current specifications are followed throughout operations.
- Keep all Food Safety Management System (FSMS) documents current and audit-ready at all times, including policies, procedures, and records.
- Ensure compliance with quality and food safety requirements related to certifications, customer standards, and state and federal regulations.
- Support quality management during facility visits, audits, and inspections by preparing, retrieving, and presenting required documentation.
- Retrieve documentation and records promptly as requested during audits and inspections to facilitate a smooth audit process.
- Engage production employees in Good Manufacturing Practices (GMP), quality programs, and policies to improve understanding and compliance.
- Facilitate training sessions with employees when quality programs or policies are implemented or updated, ensuring clear communication of changes.
- Collaborate with the Quality Assurance Manager to schedule facility-wide and individual training on updates to procedures, new documents, and revised processes.
- Contribute to continuous improvement of document control processes and quality systems by identifying opportunities to enhance accuracy, organization, and accessibility of records.
Essential Skills
- Experience in quality assurance and document control within a food manufacturing or similar regulated environment.
- Knowledge of Good Manufacturing Practices (GMP) and quality control principles, particularly related to food safety.
- Experience managing supplier approval documentation and processes.
- Ability to maintain organized, accurate, and audit-ready quality and food safety documentation.
- Strong written and verbal communication skills to clearly convey information and training content.
- Ability to engage and educate production employees on quality and food safety programs and policies.
- Self-motivated with the ability to work independently and manage priorities effectively.
- Effective collaboration and influence skills to work cross-functionally with quality, production, and other teams.
- High attention to detail, with a thorough and accurate approach to documentation and record-keeping.
- Proficiency with Microsoft Office programs, including Word, Excel, Outlook, and PowerPoint (preferred).
Additional Skills & Qualifications
- Previous experience working with supplier approvals and a supplier management platform is preferred, such as TraceGains.
- Experience in food manufacturing quality assurance or food safety programs is beneficial.
- Familiarity with certification standards and regulatory requirements for food manufacturing is an asset.
This is a Contract to Hire position based out of North Aurora, IL.
Pay and BenefitsThe pay range for this position is $22.00 - $22.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
