What are the responsibilities and job description for the Order Entry Technician position at Actalent?
Job Description
The Order Entry / Customer Service Pharmacy Technician supports a closed-door pharmacy by accurately triaging and entering medication orders, handling inbound communications, and providing knowledgeable customer service to long-term care facilities and healthcare professionals. This role focuses on reviewing incoming prescriptions, preparing them for order entry, resolving order issues, and ensuring timely, accurate medication processing in a technology-driven, non–customer-facing environment.
Responsibilities
- Receive and triage incoming medication orders via fax and electronic systems, reviewing patient profiles to determine whether it is appropriate to place the order.
- Prepare and organize incoming prescription documents by highlighting and capturing pertinent information in the computer system before sending them to the order entry team.
- Perform order entry for prescriptions, ensuring accurate transcription of medication details, SIG codes, and other critical information.
- Answer incoming phone calls and direct them appropriately, serving as a first point of contact for long-term care facilities, pharmacists, nurses, and physicians.
- Communicate clearly and professionally with long-term care facilities regarding new admissions, medication orders, clarifications, and follow-up questions.
- Respond to questions about medications within the scope of a pharmacy technician role and escalate clinical questions to a pharmacist when appropriate.
- Investigate and resolve issues with medication orders by reviewing prior orders, documentation, and understanding how the Automatic Dispensing Unit operates.
- Support transfers of prescriptions to retail pharmacies as needed, ensuring accuracy and compliance with pharmacy procedures.
- Maintain accurate data entry of patient and prescription information, adhering to pharmacy standards and regulatory requirements.
- Collaborate with team members in the front-line pharmacy group to manage all incoming phone calls, faxes, and electronic orders efficiently.
- Prioritize workload to meet turnaround times, especially during peak periods and across multiple shifts.
- Uphold confidentiality and security of patient information and comply with all applicable pharmacy regulations and internal policies.
- Registered pharmacy technician with the state of Pennsylvania (state registration is required; national certification alone does not meet this requirement).
- At least 6 months of pharmacy experience in a retail setting (such as major chain pharmacies) or in a long-term care pharmacy environment, particularly on the order entry or triage side.
- Hands-on experience typing prescription orders and working with SIG codes in a pharmacy setting.
- Demonstrated pharmacy technician experience between 2019 and 2021, with employer verification available if needed.
- Strong customer service skills, including professional communication with healthcare providers and facility staff.
- Proficiency in data entry with high accuracy and attention to detail.
- Working knowledge of pharmacy technician workflows, including order entry, inventory, and basic medication processing.
- Ability to understand and work with Automatic Dispensing Unit processes as they relate to medication orders.
- Comfort using computer-based systems and technology to manage documents and prescription information.
- Pharmacy technician certification is beneficial in addition to required state registration.
- Previous experience in large retail pharmacy environments (such as national chains) or long-term care facilities is highly valued.
- Experience with inventory and order entry processes within a pharmacy setting.
- Strong problem-solving skills to identify and resolve discrepancies or issues in medication orders.
- Ability to manage multiple tasks in a fast-paced, technology-driven environment.
- Clear written and verbal communication skills for interacting with pharmacists, nurses, physicians, and facility staff.
- Comfort working in a structured, process-oriented environment with defined workflows and procedures.
- Adaptability and flexibility to work different shifts as business needs require.
This position is based in a closed-door, non–customer-facing pharmacy environment where the team manages the front line of operations, including all incoming phone calls, faxes, and electronic orders. The work involves triaging documents and orders, with dedicated team members handling order entry and transfers to retail pharmacies. The setting offers individual workspaces or cubicles, an educated and professional peer group, and a technology-driven atmosphere with a growing, start-up feel where processes continue to evolve. The role operates across multiple shifts: day, evening, and overnight. Daylight coverage includes shifts such as 6:30am–3:00pm, 10:30am–7:00pm, and 2:30pm–11:00pm with rotating weekends approximately every third weekend. Overnight roles follow a 7-on / 7-off schedule (Monday–Friday 10:30pm–7:00am and Saturday–Sunday 6:30pm–7:00am). Candidates may state a preferred shift but must remain flexible and able to work all three shift types as needed. The environment emphasizes predictability of scheduling, collaboration, and the use of modern pharmacy technology to support long-term care facilities.
