Job Title: Clinical Project Manager Assistant

Job Description

The Clinical Project Manager Assistant supports the management of clinical trials by performing a wide range of research and administrative duties focused on clinical research images and data. Working under the direction of a Project Manager, this role helps coordinate reader assignments, manages study documentation, and ensures accurate collection, tracking, and quality control of clinical trial data and imaging materials. The position offers the opportunity to contribute directly to cutting-edge ophthalmology research and to collaborate with experienced research professionals in a mission-driven environment.

Responsibilities

  • Support the Project Manager in the day-to-day management of clinical trials, focusing on the collection, documentation, and compilation of clinical research images and data.
  • Communicate proactively with clinical sites, sponsors, and contract research organizations regarding study specifics, imaging requirements, and image-related issues.
  • Assist with study startup activities, including distribution of site initiation forms and coordination of site certification activities.
  • Track, confirm, and document receipt of all images and functional test materials submitted to the reading center, ensuring completeness and accuracy.
  • Manage certification reader assignments and assist with other reader assignments as needed to support study timelines.
  • Track certification of site technicians and monitor submission of images and functional tests for grading.
  • Respond to data queries in a timely and accurate manner, escalating issues when appropriate.
  • Prepare materials for and perform data quality control review, including reconciliation and reconciliation verification activities.
  • Perform data entry, source document verification, filing, and other clerical and documentation tasks as requested to support study operations.
  • Assist all members of the reading center team as necessary to meet the needs and timelines of multiple concurrent studies.
  • Attend internal group meetings to stay informed about study progress, process updates, and organizational priorities.
  • Participate in study conference calls as appropriate to provide updates, clarify requirements, and support cross-functional communication.
  • Provide coverage for assigned studies when the Project Manager is out of the office or unavailable, including time-sensitive activities such as patient screening eligibility reviews and responding to sponsor requests.
  • Help train new Project Manager Assistants by sharing knowledge of processes, systems, and study-specific requirements.
  • Maintain accurate, organized study documentation and contribute to continuous improvement of clinical research processes and workflows.

Essential Skills

  • At least 2 years of experience providing administrative support in a professional environment.
  • 1 years of experience within clinical research highly preferred, but not required.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Strong data entry skills with high attention to detail and accuracy.
  • Excellent oral and written communication skills, with the ability to communicate clearly with internal and external stakeholders.
  • Good judgment and the ability to handle sensitive information with professionalism.
  • Flexibility and adaptability in a dynamic work environment with changing priorities.
  • Ability to learn new programs and systems quickly and effectively.
  • Strong organizational skills and the ability to work under tight deadlines.
  • Ability to prioritize work assignments and manage multiple tasks simultaneously.
  • Comfort working independently while also collaborating effectively as part of a team.

Additional Skills & Qualifications

  • Prior experience in clinical research or exposure to clinical trial operations is highly preferred.
  • Experience working with imaging or functional test data in a research or clinical setting is beneficial.
  • Interest in ophthalmology, retinal imaging, or medical research and a desire to contribute to advancing patient care.
  • Ability to support training of new team members by sharing best practices and process knowledge.
  • Motivation to develop specialized expertise in clinical research methodologies and imaging-based endpoints.
  • Strong commitment to quality, accuracy, and continuous process improvement.

Work Environment

This position follows a Monday through Friday schedule from 8:00 a.m. to 4:00 p.m. The role is 100% remote; however, candidates must reside in North Carolina and be close enough to the campus in Durham to attend onsite training and occasional in-person activities as needed. The work environment is research-focused and mission-driven, centered on advancing treatments for retinal and ocular diseases through participation in multicenter clinical trials. Team members collaborate with physicians, imaging experts, and research professionals and work extensively with digital imaging data, clinical trial documentation, and standard office technologies such as Microsoft Office. This is a Contract position based out of Wilmington, NC.

Pay and Benefits

The pay range for this position is $24.00 - $26.00/hr.
