Job Description
The Final Assembly Production Engineering Department seeks a passionate and highly motivated Assembly Administrator to provide comprehensive administrative and operational support. In this role, you manage executive schedules and travel, issue and track requisitions, maintain the site office, and support budget tracking and standards. You play a key role in supporting the Production Engineering Assembly department’s objectives by maintaining KPIs, overseeing budget processes, and ensuring smooth operation of the PEMC site office.
Responsibilities
- Manage executive travel schedules and calendars for Final Assembly Production Engineering leadership.
- Coordinate, schedule, and update meetings, appointments, and related calendar activities for executives.
- Issue purchase requisitions for all Production Engineering Final Assembly (PEMC FAE) needs.
- Track and receive all project purchase orders to ensure accurate documentation and timely processing.
- Maintain budget tracking in SAP, Ariba, and standard Final Assembly Engineering systems.
- Maintain budget KPI data and ensure accuracy of virtual dashboards for financial and operational reporting.
- Develop and maintain the annual operating budget for office maintenance and related expenses.
- Manage the PEMC Final Assembly Engineering office, including office layout, supplies, and day-to-day operations.
- Oversee and track office assets, including asset management documentation and lifecycle tracking.
- Provide administrative support to the Production Engineering Assembly department, including document control, filing, and data entry.
- Coordinate project-related administrative tasks, including project documentation, status tracking, and reporting.
- Prepare, organize, and maintain engineering administrative records and files in an orderly and accessible manner.
- Support the development and maintenance of Power BI reports for budget, KPI, and operational dashboards.
- Collaborate with engineering and project teams to ensure timely completion of administrative and coordination tasks.
- Ensure adherence to internal standards and procedures for budgeting, asset management, and office administration.
- Bachelor’s degree or higher.
- 2 years of experience as an administrative assistant or administrator supporting Production Engineering (PE) or similar technical departments.
- 2 years of experience working on project budget support and maintenance.
- 2 years of experience working in asset management, including tracking and reporting.
- Proven experience managing general manager or executive calendars and travel arrangements.
- Experience with Ariba systems for procurement, requisitions, and related workflows.
- Proficiency with SAP or similar enterprise resource planning tools for budget tracking.
- Strong Microsoft Excel skills, including data entry, tracking, and reporting.
- Proficiency with Microsoft Office applications, including Word, PowerPoint, and Outlook.
- Experience using and creating Power BI reports for dashboards and KPI tracking.
- Demonstrated administrative support experience, including document control, filing, and data management.
- Strong typing and data entry skills with high accuracy and attention to detail.
- Experience in engineering administration, administrative assistance, or project coordination.
- Ability to manage multiple tasks simultaneously and prioritize in a fast-paced environment.
- Strong communication and organizational skills to support executives and cross-functional teams.
- Associate’s degree in business or a related field is beneficial in addition to a bachelor’s degree.
- Experience in administrative roles within an engineering or manufacturing environment.
- Background in document control and file clerk responsibilities.
- Experience providing administrative support to production or assembly operations.
- Familiarity with standard administrative and office procedures in technical organizations.
- Comfort working with virtual dashboards and digital reporting tools.
- Ability to collaborate effectively with engineering, production, and administrative teams.
- Strong problem-solving skills and a proactive approach to improving administrative processes.
This role is based on-site at a production engineering and manufacturing facility in Georgetown, KY, within the PEMC Final Assembly environment. The position typically involves standard working hours with an expected overtime component of approximately 20%, reflecting the dynamic nature of production and engineering support. Occasional travel of up to 5% within the United States is required for meetings, coordination, or support activities. You will work in a professional office setting within a larger manufacturing campus, using tools such as SAP, Ariba, Microsoft Office, Excel, and Power BI on a regular basis. The environment emphasizes collaboration with engineering and production teams, timely project support, and adherence to internal standards and processes. Interviews for this role are conducted via a 60-minute video call.

Pay and BenefitsThe pay range for this position is $25.00 - $30.00/hr.
