Job Description
The Project Administrative Coordinator will provide day-to-day administrative and project controls support for a large-scale construction project based in New Florence, Missouri. In this role, you will work closely with project managers and project controls leadership to coordinate documentation, support pay applications, assist with reporting, and help track equipment and project progress. The position is expected to start with one team member and grow to a small team as project demands increase, offering strong opportunities for hands-on experience and career development in construction project administration and controls.
Responsibilities
- Provide daily administrative support to project managers and project controls leadership on a large-scale construction project.
- Coordinate project documentation, including organizing, tracking, and maintaining construction documents and records in an orderly and accessible manner.
- Perform accurate data entry to support pay applications, reporting, payroll, invoicing, and equipment tracking activities.
- Assist with the preparation, review, and submission of pay applications and related project financial documentation.
- Support construction document control processes, ensuring that drawings, specifications, and other documents are current, properly filed, and distributed to the appropriate stakeholders.
- Use Microsoft Office tools to create, update, and maintain spreadsheets, reports, logs, and other project tracking documents.
- Work with project-specific tools such as Textura and LCPtracker to support project controls, reporting, and compliance requirements.
- Assist with project coordination tasks, including scheduling-related support, tracking action items, and following up on outstanding project needs.
- Provide responsive customer service to internal project team members and external stakeholders, addressing administrative and documentation requests promptly and professionally.
- Support payroll and invoicing processes by gathering, verifying, and entering required information in a timely and accurate manner.
- Prepare and distribute routine project reports and summaries to support project managers and leadership in decision-making.
- Follow established project processes and procedures while meeting time-sensitive deadlines and maintaining high attention to detail.
- Collaborate closely with project managers and project controls leadership in a dynamic, high-accountability environment to ensure smooth project operations.
- Participate in an in-person interview with relevant project stakeholders and, once hired, engage actively in on-the-job training provided by project controls and senior project leadership.
Essential Skills
- One to five years of experience in construction administration, project coordination, or a related field.
- Experience supporting construction projects, preferably within a project office or similar environment.
- Proficiency with Microsoft Office, including the ability to create and manage spreadsheets, documents, and reports.
- Strong attention to detail with the ability to maintain accurate records and documentation.
- Excellent organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
- Ability to follow established processes and procedures while consistently meeting time-sensitive deadlines.
- Comfort working in an onsite construction office environment within an active heavy construction jobsite.
- Effective communication and customer service skills when interacting with project team members and stakeholders.
- Willingness to learn and adapt to project-specific tools and reporting requirements.
Additional Skills & Qualifications
- Familiarity with construction administration, construction management, or project coordinating responsibilities.
- Experience with document control practices in a construction setting, including handling construction documents and specifications.
- Hands-on experience with Textura for pay applications or related construction financial tools.
- Exposure to or experience with LCPtracker or similar compliance and reporting platforms.
- Background in administration, customer service, payroll, invoicing, or reporting in a project-based environment.
- Interest in developing a career path toward project controls, office engineer, or project management roles.
- Ability to quickly learn new software tools and apply training from project controls and senior project leadership.
Work Environment
This position is based onsite at the project office in New Florence, Missouri, within an active, fast-paced heavy construction environment. The project office itself is clean, organized, and professionally run, while the surrounding jobsite is busy, can be loud at times, and is currently a dirt site with ongoing equipment movement and field activity. Work is highly deadline-driven and supports a major, high-visibility project with tight schedules, requiring comfort with multitasking and staying organized under pressure. You will work closely with project managers and project controls leadership in a dynamic, high-accountability setting, using tools such as Microsoft Office, Textura, and LCPtracker. Interviews take place in person at the project office with key project stakeholders, and hiring decisions are made shortly after interviews conclude, allowing successful candidates to move quickly into a role where they can make an immediate impact.
Job Type & LocationThis is a Contract to Hire position based out of New Florence, MO.
Pay and BenefitsThe pay range for this position is $25.00 - $32.00/hr.
