Job Position Summary
The Referral Coordinator plays a vital role in ensuring patients receive timely and appropriate specialty care. This position is responsible for processing referrals, verifying insurance requirements, coordinating appointments, and serving as a patient advocate and navigator. The Referral Coordinator must maintain accuracy in a fast-paced environment while upholding patient confidentiality and delivering exceptional customer service.
Key Responsibilities
- Receive, verify, and process patient referrals and diagnostic orders.
- Maintain accurate patient records, including demographics and insurance information.
- Obtain insurance authorizations and ensure compliance with payer requirements.
- Track referral status and outcomes to support continuity of care.
- Assemble and transmit clinical information to specialists per referral guidelines.
- Coordinate specialty and diagnostic appointments with patients and providers.
- Communicate referral details and expectations to patients, assisting with barriers to care.
- Serve as a system navigator and advocate for patients and families.
- Establish and maintain relationships with service providers, health plans, and community organizations.
- Ensure adherence to WellSpace Health protocols, HIPAA standards, and infection control procedures.
- Participate in team meetings and contribute to departmental goals.
Required Qualifications
- High School Diploma or equivalent.
- Medical Assistant training/certification preferred.
- Minimum of 2 years related experience preferred, or equivalent education/experience.
- Strong knowledge of health insurance concepts (HMO, PPO, Medicare, Medi-Cal, etc.).
- Familiarity with medical and billing terminology (ICD-9/10, CPT codes).
- Experience with Electronic Health Records (NextGen preferred).
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong administrative and organizational skills with attention to detail.
- Ability to work flexible schedules and manage delegated tasks independently.
- Commitment to HIPAA compliance and professional ethics.
- Fluency in additional languages preferred.
