Job Description: Referral Coordinator

Department: Patient Services

Job Position Summary

The Referral Coordinator plays a vital role in ensuring patients receive timely and appropriate specialty care. This position is responsible for processing referrals, verifying insurance requirements, coordinating appointments, and serving as a patient advocate and navigator. The Referral Coordinator must maintain accuracy in a fast-paced environment while upholding patient confidentiality and delivering exceptional customer service.

Key Responsibilities

  • Receive, verify, and process patient referrals and diagnostic orders.
  • Maintain accurate patient records, including demographics and insurance information.
  • Obtain insurance authorizations and ensure compliance with payer requirements.
  • Track referral status and outcomes to support continuity of care.
  • Assemble and transmit clinical information to specialists per referral guidelines.
  • Coordinate specialty and diagnostic appointments with patients and providers.
  • Communicate referral details and expectations to patients, assisting with barriers to care.
  • Serve as a system navigator and advocate for patients and families.
  • Establish and maintain relationships with service providers, health plans, and community organizations.
  • Ensure adherence to WellSpace Health protocols, HIPAA standards, and infection control procedures.
  • Participate in team meetings and contribute to departmental goals.

Required Qualifications

  • High School Diploma or equivalent.
  • Medical Assistant training/certification preferred.
  • Minimum of 2 years related experience preferred, or equivalent education/experience.
  • Strong knowledge of health insurance concepts (HMO, PPO, Medicare, Medi-Cal, etc.).
  • Familiarity with medical and billing terminology (ICD-9/10, CPT codes).
  • Experience with Electronic Health Records (NextGen preferred).
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Strong administrative and organizational skills with attention to detail.
  • Ability to work flexible schedules and manage delegated tasks independently.
  • Commitment to HIPAA compliance and professional ethics.
  • Fluency in additional languages preferred.

Pay: $24.90 per hour

Expected hours: 40 per week
