What are the responsibilities and job description for the Executive Assistant position at Acro Service Corp?
Executive and Administrative Support – Provide administrative support for the Associate Vice President (AVP) in routine and with special projects. The work will primarily support two college-wide initiatives the College and Career Readiness Initiative (C3R) and the Neurodivergent-Friendly Campus Initiative (NDFCI). Prioritize requests made to the AVP including meeting requests, schedule appointments and address communications. Demonstrate the ability to work under pressure, multi-task at times, and to handle a wide variety of activities to include providing support for workgroups and planning various events.
Specific tasks include, but are not limited to:
- Schedule, manage and prioritize the AVP’s daily calendar.
- Analyze, prioritize, and manage the AVP’s workflow including reading and evaluating incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Screen telephone calls; respond, refer or forward callers to the appropriate parties, as necessary.
- Prepare and submit responses to correspondence containing routine inquires.
- Conduct research, compile data, and prepare papers, financial statements or reports for consideration and presentation by the AVP or others.
- Engage with Conference Services and other staff to coordinate and support various events/activities.
- Assist with events, administrative functions and perform other duties as assigned to include data entry.
- Prepare documents and spreadsheets using all MS Office applications
- Edit documents to include reports and finalize draft documents.
- Schedule meetings, prepare agendas and other materials, take notes at meetings
- Compose letters, email, and other written communications.
Requirements:
- Knowledge of MS Office applications and other technical applications employed by the college.
- Excellent communication skills with internal and external stakeholders.
- Excellent ability to communicate information effectively and confidentially. Demonstrate cultural compassion that is representative of Lansing Community College’s staff and student population.
- Ability to lead and support staff in accomplishing many tasks in a short period of time.
- Ability to act as a resource and effectively lead staff in fulfilling various objectives and tasks.
- Ability to be flexible for a variety of situations that will best serve the Division and the institution.
Preferred qualifications:
- Associate’s Degree from regionally accredited college or equivalent combination of education and experience.
- Demonstrated progressively responsible administrative or executive support experience.
- Demonstrated experience using a wide array of technology for office administration.
- Demonstrated excellent verbal and written communication skills.
- Demonstrated progressive leadership and/or administrative responsibilities.
