Position Summary
The Sales Administration Representative provides cross-team, transactional support for Sales and Program Managers, ensuring efficient sales order administration across all departments. This role manages order processing, customer onboarding, data management, and supports both internal teams and customers to ensure seamless operations.
Essential Duties and Responsibilities
Sales Order Entry & Administration
- Enter and administer sales orders with accuracy and attention to detail.
- Route new and recurring purchase orders to Program Managers for review; assist with quote and contract review.
- Monitor order status and coordinate with internal teams to ensure timely shipment.
- Process drop-ship and outsourced orders, deposits, and prepayment applications.
- Support order flow by maintaining work orders and completing work order builds.
- Coordinate with Program Managers and QA to generate and manage return orders and material disposition.
- Assist Accounting with processing and applying credit memos and refunds.
- Help resolve invoice or payment discrepancies.
RFQs & Quoting Support
- Process incoming sales leads and route to the appropriate departments.
- Assist with RFQs and material sourcing for custom quotes, including lead times, specifications, MOQs, and pricing.
Data Management & Reporting
- Manage customer onboarding and creation, process credit applications, credit reports, set customer terms and credit limits.
- Maintain customer records and support annual resale certificate audits.
- Manage updates to customer credit status and limits.
- Maintain and update sales, customer, and part databases to ensure data integrity.
- Create part numbers and revisions in compliance with internal templates and procedures.
- Manage customer and sales data within CRM systems.
- Assist with reporting, dashboards, and data analysis needs.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Associate’s or Bachelor’s degree preferred, or equivalent experience in sales administration, business, or related fields.
- Minimum of 2 years of experience in sales support, order administration, or customer service, preferably in a manufacturing or technical environment.
- Experience with CRM systems and Microsoft Office Suite (Excel, Word, Outlook).
- MRP/ERP experience is a plus.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- High attention to detail and accuracy in data entry.
- Strong analytical and problem-solving skills.
- Ability to collaborate effectively with cross-functional teams and customers.
