**DESCRIPTION**
The VP Operations is responsible for the operational effectiveness of Agency operational resources within AMG. The VP Operations will monitor and facilitate the flow of all work through a fast-paced, deadline-oriented environment. This role will ensure that the Agency has effective tools, policies, procedures, and training to assure smooth delivery and quality outputs against our client expectations for execution. The VP Operation will provide indirect oversight into key roles (Account, Creative, Finance & Procurement) throughout the organization that are related to execution of those deliverables. The position manages financial reporting in conjunction with Acosta Finance, and provides insights into business trends, and issues. The position manages the buying/estimating and vendor relationships for the Agency. Additionally, the position is the owner of Agency computer operating systems.
**RESPONSIBILITIES**
Management of shared services- key influencer/decision maker on day-to-day conflicted resource allocations.
Oversight of agency software/systems usage, training, and guidance of software execution.
Financial oversight and management.
Works closely with account and creative services team to coordinate the production of integrated marketing materials.
Works with corporate finance to ensure all agency work is properly billed, that accounts receivable are cleared, and agency bills are paid properly while adhering to internal controls.
Works with AMG management and Acosta corporate departments to ensure budgets are created and properly managed.
Procurement management: Manages the people, systems and processes used from quote generation to vendor purchase order issuance, to client billing.
Vendor Management: Review, research, and secure preferred vendor partners to achieve cost efficiencies and return high level of service expectations.
Serves as a training and support resource to The Agency at AMG and Promo Depot organizations.
Provides Management and Client team reporting as needed.
Responsible for continuous improvement program for Agency Operations.
Manage Agency contract review process.
Monitor Agency resources and assignments and plans for workload capacity.
Establish and uphold consistent procedures to ensure efficient workflow, document evolution to
workflow processes and procedures
Troubleshoot project timeline issues with management, providing a neutral perspective and problem-solving point-of-view.
**QUALIFICATIONS**
Minimum Education and Work Experience
Bachelor’s Degree in business (Management, Finance, Accounting) required.
7 years’ experience in an agency, ideally working in management of a production and/or traffic and/or procurement and/or financial operations.
Experience managing, leading, planning, setting strategy and direction for department.
Master’s in accounting or MBA is desirable.
Knowledge, Skills, and Abilities
Ideally have a solid working understanding of print, packaging and collateral design and productions processes.
Knowledge of job workflow management.
Computer proficiency in general and on Microsoft Office specifically.
Proven ability to interact with people at all levels of an organization, fostering strong cross-functional teamwork and results.
Strategic thinking ability with balanced analytical and creative approach to tactical planning.
Proficient at planning, assigning and coordinating execution of project tasks.
Strong self-management skills, with the ability to multi-task in a fast-paced, deadline-oriented environment.
