We are seeking an experienced, highly organized Executive Assistant to provide comprehensive administrative and logistical support to ACORE’s President and CEO, and to support the COO and Chief of Staff. This role is responsible for managing scheduling, coordinating communications, and handling day-to-day logistics to ensure the CEO’s time is used effectively.
The ideal candidate is detail-oriented, dependable, and proactive, with the ability to manage multiple priorities, exercise sound judgment, and maintain a high level of professionalism and discretion when working with sensitive information and senior stakeholders.

What You’ll Do:
Executive & Administrative Support
- Manage the CEO’s complex calendar, scheduling meetings and appointments while balancing competing priorities.
- Prepare materials and briefing documents to ensure the CEO is well-informed for meetings and events.
- Coordinate all travel arrangements, including flights, accommodations, itineraries, and logistics; process expense reports in a timely and accurate manner.
- Draft, edit, and proofread correspondence and routine communications on behalf of the CEO.
- Monitor incoming requests and communications, helping to prioritize and ensure timely follow-up.
- Anticipate scheduling and logistical needs and adjust plans as necessary to support changing demands
- Serve as a central point of contact for the CEO’s office, facilitating communication with internal teams and external stakeholders.
- Track action items, follow-ups, and deadlines to help ensure timely execution of tasks.
- Maintain organized systems for files, records, and key documents.
- Provide administrative support for special projects and general office needs as assigned.
- Provide administrative support to the Board of Directors, including scheduling meetings and coordinating logistics.
- Assist with the preparation and distribution of board materials.
- Take meeting minutes and track follow-up items to support clear documentation and communication
- 6 years of experience supporting senior executives in an administrative capacity
- Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities effectively
- Strong judgment and professionalism, with the ability to handle confidential information with discretion
- Proactive and dependable, with strong follow-through
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms including Teams and Zoom
- Experience coordinating complex travel and managing executive calendars
- Bachelor’s degree preferred
