Position Overview:
We are seeking a detail-oriented and organized Administrative Assistant to support our equipment and maintenance operations. This position will handle work orders, maintain equipment records, and assist with various administrative tasks. The ideal candidate will have a minimum of 2 years of experience in a clerical position and proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Key Responsibilities:
- Prepare, process, and complete work orders from the shop and Tenna inspections.
- Send work orders to field mechanics.
- Run equipment scheduled maintenance reports and distribute them to the shop and jobsites.
- Modify equipment scheduled maintenance checklists as requested and set up maintenance schedules for new equipment.
- Prepare end-of-year equipment inspections and process all related paperwork and pictures.
- Prepare truck spare cab books as needed.
- Create and organize new equipment keychains and maintain keychain stations as equipment is purchased or sold.
- Scan axle spacing reports and weight slips into the network and hard copy binders; Run weekly equipment off-line Tenna reports.
- Assist drivers with DVIR inspections and Gorilla logbook training.
- Handle various scanning, filing, data entry, and administrative tasks.
- Cross-train with the current Equipment Asset Administrator on all systems and processes.
