Position Overview
The Surgery Scheduler plays an important role in helping patients prepare for urological procedures. This position serves as a main point of contact throughout the scheduling process and helps patients understand what to expect before surgery. A working knowledge of medical terminology and urological procedures is important for this role.
Essential Job Functions
- Schedule and manage urological surgical procedures, preoperative appointments, and related testing.
- Obtain and track insurance authorizations and verify patient benefits and eligibility.
- Arrange required preoperative testing and medical clearances, including cardiac clearance when applicable.
- Provide patients with surgery dates, preparation instructions, appointment details, and other necessary information.
- Communicate scheduling information and changes with physicians, hospitals, clinical staff, and outside offices.
- Review surgical orders and documentation for completeness and follow up on outstanding authorizations, clearances, test results, and other requirements.
- Accurately enter and maintain surgical information in the electronic medical record and scheduling systems.
- Apply knowledge of medical terminology and urological procedures when reviewing and scheduling cases.
- Manage scheduling changes, cancellations, and conflicts and provide timely updates to the appropriate parties.
- Maintain accurate records and protect patient confidentiality in accordance with HIPAA, practice policies, and applicable privacy requirements.
- Provide administrative and front office support as needed.
Requirements
Required
- Bachelor’s degree or equivalent experience.
- Experience with surgery scheduling, insurance authorizations, or referral management.
- Experience in an outpatient medical setting and working with hospitals, insurance companies, and patients.
- Knowledge of insurance verification and authorization processes.
- Familiarity with Electronic Medical Records (EMRs).
- Basic proficiency with Microsoft Office (Word, Excel, and Outlook) and standard office equipment.
Preferred
- Previous experience in a urology or surgical practice.
- Experience with multi-line phone systems.
- Bilingual proficiency is a plus.
