Achieve, one of South Florida’s leading education nonprofit organizations, is seeking a self-driven, highly organized, and solutions-oriented professional to join our team as the Administration & Operations Manager.

Founded in 2015, Achieve (formerly known as Achieve Miami) connects students, teachers, and community partners through mentorship, enrichment, and career-readiness initiatives that strengthen the region’s education ecosystem. The organization operates programs in more than 260 schools and has served over 15,000 students. Its Teacher Accelerator Program (TAP), designed to address the region’s teacher shortage, has recruited, trained, and graduated more than 500 aspiring educators to date. Now marking a decade of impact, Achieve is building on this momentum to deepen its reach and strengthen outcomes for students and educators across Miami-Dade County.


Role & Responsibilities:


Administration and Operations (Achieve Miami TAP)

  • Manage Achieve’s main email and phone line, ensuring timely and professional communication and routing of inquiries.
  • Oversee daily office operations including purchasing supplies, coordinating room bookings, communicating with building management, and ensuring a well-organized workspace.
  • Maintain and document office management policies and procedures and communicate them clearly to all staff.
  • Maintain filing systems (digital and physical) to ensure accessibility and accuracy of organizational records.
  • Maintain and improve internal systems, workflows, and documentation to increase efficiency across the organization.
  • Provide administrative support to leadership, including coordinating schedules, preparing documents and presentations, and supporting special projects.
  • Manage and maintain organizational calendars, deadlines, and key operational timelines.
  • Support planning and logistics for internal meetings, trainings, and organizational and programmatic events, as necessary
  • Oversee all organizational subscriptions (eg. Amazon, Walmart, etc.) ensuring proper usage and cost management.

Finance (Achieve Miami TAP)

  • Assist with collecting and maintaining accurate and organized receipt documentation, including folder management and inputting.
  • Track and manage invoices, reimbursements, and general financial documentation in coordination with the finance team.
  • Manage accounts payable processes through our banking and payroll systems (Paycom).

Human Resources (Achieve Miami TAP)

  • Manage all HR processes including recruitment, job posting, scheduling interviews, hiring, and onboarding.
  • Support with maintenance and organization of all employee files, ensuring compliance with organizational policies and legal requirements.
  • Assist with culture-building initiatives, including staff events and Culture Committee efforts.

Program Support (Achieve Miami TAP)

  • Participate in Achieve Miami and TAP meetings, as appropriate.
  • Participate and assist Achieve Miami programs and projects as needed (eg. SPARK Saturdays, Senior Send-Off event, etc)
  • Provide operational and logistical support for program staff retreats/onboarding sessions, etc.
  • Provide operational and logistical support across Achieve Miami programs, ensuring Program Directors and Managers are equipped to deliver high-quality programming.
  • Assist with TAP candidate recruitment processes including outreach calls, interviews, and orientations as needed.
  • Identify operational gaps within programs and propose systems or process improvements to increase efficiency.


Qualifications:


  • Bachelor's Degree preferred or equivalent professional experience.
  • Minimum 2 years of experience in administrative, operations, HR, or related roles; nonprofit experience preferred.
  • Experience working in a fast-paced environment with the ability to multitask effectively and maintain strong attention to detail.
  • Familiarity with HRIS and payroll systems (e.g., Paycom or similar platforms) preferred.

Details:

This will be a full-time, salary-exempt position which will pay $50,000-$55,000 annually. This role reports directly to the Administrative Director and does not include supervisory responsibilities at this time. All full-time employees receive a cell phone stipend and paid office parking starting day 1; medical, vision, and dental benefits, starting on the first day of the month after 90 days of employment; and 401K with matching after 1 year of employment. Achieve will reimburse employees for authorized, necessary and reasonable mileage outside of office travel. This is a hybrid position with a minimum of two days in office required. Participation in monthly Achieve SPARK programming sessions is required, typically held on Saturdays. To ensure a healthy work-life balance, flexible scheduling (flex time) is provided during the work week to offset these sessions.
