Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will have strong office management skills, excellent communication abilities, and proficiency with various software tools. This role involves providing exceptional customer service, managing administrative tasks, and ensuring the smooth functioning of daily office activities. Prior experience in clerical work, data entry, and calendar management is preferred.

Duties

  • Manage front desk operations, handling phone systems and reporting information directly to the boss
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite and Google Workspace for report creation, correspondence, and scheduling
  • Coordinate calendar management and appointment scheduling for staff and clients
  • Provide customer support via phone, email, and in person with professional phone etiquette
  • Handle bookkeeping tasks using QuickBooks or similar accounting software
  • Assist with office management duties such as supply inventory and facility maintenance
  • Support personal assistant functions including travel arrangements and personal scheduling when needed
  • Maintain organized records of client information, invoices, and correspondence

Skills

  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with excellent time management abilities
  • Experience with data entry, filing systems, and proofreading documents
  • Knowledge of QuickBooks or other bookkeeping software preferred
  • Exceptional customer service skills with professional phone etiquette
  • Ability to operate phone systems efficiently
  • Bilingual communication skills are highly desirable to serve diverse clientele
  • Office management experience including calendar management and office supply coordination
  • Clerical experience with familiarity as HVAC receptionist duties is a plus
  • Computer literacy with a focus on administrative software tools and office equipment
  • Personal assistant experience or administrative support background is advantageous

Pay: $20.00 - $30.00 per hour

Work Location: In person
