Ace Behavioral & Mental Health Services LLC is a growing outpatient mental health clinic dedicated to providing high-quality psychiatric and behavioral health services to children, adolescents, adults, and families throughout Maryland. Our services include Psychiatric Evaluations, Medication Management, Individual Therapy, Telehealth Services, Psychiatric Rehabilitation Program (PRP), and Substance Use Treatment.
We are seeking an energetic, professional, and compassionate Mental Health Office Assistant with experience in PRP services and community outreach to join our team.
ResponsibilitiesAdministrative & Front Office Duties
- Answer incoming phone calls and assist clients professionally.
- Schedule and coordinate psychiatric, therapy, and PRP appointments.
- Verify insurance eligibility and benefits.
- Maintain Electronic Health Records (EHR) and client files.
- Manage incoming faxes, emails, and office correspondence.
- Prepare intake packets and assist with new client registration.
- Ensure client documentation is complete and compliant.
PRP Coordination
- Assist with PRP referrals, admissions, and enrollment.
- Monitor PRP authorizations and service documentation.
- Coordinate communication between clients, PRP counselors, therapists, and psychiatric providers.
- Maintain organized and audit-ready participant records.
- Track treatment plans, assessments, and reassessments.
Community Outreach & Marketing
- Build relationships with hospitals, primary care offices, schools, nursing facilities, group homes, social workers, and community agencies.
- Attend community events, health fairs, and networking functions.
- Promote clinic services and referral opportunities.
- Assist with social media management and marketing campaigns.
- Distribute promotional materials and educational resources.
- Develop referral sources throughout Maryland.
Qualifications
- High School Diploma or GED required.
- Associate Degree preferred.
- Minimum 2 years of experience in behavioral health, mental health, PRP, healthcare administration, or community outreach.
- Knowledge of Maryland Medicaid and behavioral health services preferred.
- Strong customer service and communication skills.
- Computer proficiency including Microsoft Office, Outlook, Excel, and Electronic Health Records (EHR).
- Reliable transportation required.
