Job Overview
We are seeking a part-time highly organized and proactive Administrative Assistant to support our office operations and ensure seamless daily functioning. Duties
- Manage front desk responsibilities, including greeting visitors, handling multi-line phone systems, and directing calls with professional phone etiquette.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of records.
- Coordinate calendar management and schedule appointments for team members or executives.
- Utilize Microsoft Office Suite and Google Workspace tools to prepare reports, correspondence, and presentations.
- Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking.
- Provide customer support by addressing inquiries promptly and professionally, ensuring high levels of customer satisfaction.
- Assist with office management duties such as supply inventory control, maintaining cleanliness, and organizing files for efficiency.
- Handle personal assistant responsibilities when required, including task prioritization and time management.
Qualifications
- Proven experience in office management or administrative roles with a strong background in clerical tasks.
- Demonstrated proficiency in computer literacy, including Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent written and verbal communication skills; experience with phone etiquette is essential.
- Experience with bookkeeping software such as QuickBooks is preferred.
- Bilingual abilities are highly desirable to facilitate communication with diverse clients and staff.
