We are looking for a detail-oriented Purchasing Assistant / Production Coordinator to support our front office, purchasing, vendor coordination, outside processing, material purchasing, and production paperwork.
Position SummaryWe are looking for a reliable and organized person to help process customer purchase orders, request material quotes, place material purchase orders, coordinate outside processing, and follow up with vendors to keep jobs moving on schedule.
This position works closely with production, purchasing, quality, shipping/receiving, and management. The ideal candidate is comfortable working in a fast-moving manufacturing environment and can follow up with vendors, organize paperwork, and keep accurate records.
Responsibilities- Process customer purchase orders and enter/update job information in the system.
- Request material quotes from vendors and compare pricing, lead time, and availability.
- Prepare and issue purchase orders for raw material, hardware, tooling, outside processing, and other shop needs.
- Coordinate outside processing such as anodize, chem film, plating, passivation, heat treat, grinding, coating, and special finishing.
- Send drawings, specifications, purchase orders, and job requirements to outside vendors.
- Track vendor due dates and follow up to make sure materials and outside processing are completed on time.
- Collect and organize required documents such as material certificates, finish certificates, heat treat certificates, Certificates of Conformance, packing slips, and invoices.
- Communicate with vendors regarding pricing, delivery, shortages, delays, and order status.
- Work with production and quality teams to make sure job requirements are clear before sending parts out.
- Maintain purchasing files, vendor records, job folders, and production paperwork.
- Support shipping and receiving with incoming/outgoing material and outside processing orders as needed.
- Assist with office administrative tasks related to purchasing, customer orders, vendor follow-up, and production support.
- 1 year of office, purchasing, production coordination, or administrative experience.
- Strong attention to detail and ability to follow instructions carefully.
- Good communication skills by email and phone.
- Ability to organize multiple jobs, purchase orders, and vendor due dates at the same time.
- Basic computer skills, including email, PDF files, Excel, and data entry.
- Ability to read basic purchase orders, packing slips, invoices, and vendor quotes.
- Dependable, organized, and able to follow up without being reminded.
- Experience in CNC machining, manufacturing, metal fabrication, or a machine shop environment.
- Experience with JobBOSS, ERP/MRP systems, QuickBooks, Excel, or similar software.
- Knowledge of raw materials such as aluminum, stainless steel, titanium, plastics, and specialty metals.
- Experience coordinating outside processing such as anodize, chem film, plating, passivation, heat treating, grinding, coating, or special finishing.
- Familiarity with material certificates, finish certificates, Certificates of Conformance, and customer quality requirements.
