OFFICE ADMINISTRATOR - Part Time (25-30 hours weekly): Hyattsville, MD - based accounting services firm seeks a talented, dependable professional to manage the administrative processes and team. With our continued growth and expansion, we are currently seeking an administrative professional. This position will report directly to the Chief Executive Officer (CEO) and is based at our Hyattsville, MD location. This is NOT a remote position. All staff are expected to work on site.
WORK SCHEDULE: MONDAY-WEDNESDAY & FRIDAY- 9:00AM-2:30PM AND SATURDAYS-8:30AM-2:00PM
About the Role:
As the Office Administrator, you effectively and efficiently oversee the administrative processes of the business. In this role, you provide support to management, communications, and operations by implementing administrative systems and executing assigned projects which contribute to assisting with remaining the trusted accounting partner of many companies and organizations.
In this role you are a person of integrity working in a professional manner, maintaining a high degree of confidentiality, and demonstrating exceptional administrative and organizational skills. Your capacity to understand and anticipate the needs of your team contributes to your active approach to problem solving.
Responsibilities include:
ADMINISTRATIVE (75%):
- Ensures effective telephone and electronic communications both internally and externally to maintain professional image
- File Maintenance & Management ( Physical and Digital)
- Ensure compliance with business policies and procedures.
- Calendar and Database Management
- Serve as point of contact for company vendors
- Human Resources Tasks as assigned
- Participates in special projects as needed
ACCOUNTING SUPPORT (10%):
- Accounts Receivable Support
- Support Accounting Department
COMMUNICATIONS (15%):
- Assist all departments with ensuring optimal customer service
- Manage internal and external Business Communications
- Assist and implement marketing and advertising strategy
- Client Communication Management
REQUIREMENTS:
- Minimum of 3-5 years of office or team management experience.
- Executive Support Experience (Preferred)
- Accounting office experience (Preferred)
- Must be proficient in QuickBooks
- Intermediate proficiency in Microsoft Excel.
- Proficient in MS Office, Google Systems, and Adobe.
- Must be accurate & organized; meet deadlines; be detailed oriented with strong analytical skills.
- Self Starter that shows initiative
- Team player with ability to work independently.
KNOWLEDGE, SKILLS, ASSESSMENTS (KSA):
- High School Diploma or equivalent preferred; college degree a plus.
- Proven working experience as a personal assistant or executive level administrative support
- Three-Five years office management experience;
- Knowledge of office management systems and procedures
- Outstanding organizational and time management skills
- Ability to multitask and prioritize daily workload
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Successful passage of background check and assessment tests
Salary: $25.00/hr PLUS Bonuses and Employee Benefits; Starting salary and employment status will be re-evaluated after evaluation period (90 days)
Work Environment and Physical Requirements:
- Standard office environment – sitting, walking, standing – with use of information technology may apply such as cell phones, email, keyboarding, reporting software.
