Overview
We are seeking a motivated and organized Office Assistant/Receptionist to join our team. This role is essential in ensuring smooth operations at our front desk and supporting various administrative functions. The ideal candidate will possess strong communication skills, a customer-oriented mindset, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Duties

  • Greet visitors and clients warmly, providing excellent customer service at the front desk.
  • Manage multi-line phone systems, directing calls appropriately and taking messages when necessary.
  • Perform data entry tasks accurately and efficiently, maintaining organized records and files.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Handle clerical duties such as filing, proofreading documents, and maintaining office supplies.
  • Utilize software tools including Microsoft Office and Google Workspace for various administrative tasks.
  • Support bookkeeping tasks as needed, including invoicing and expense tracking through QuickBooks.
  • Provide customer support by addressing inquiries and resolving issues promptly.
  • Maintain confidentiality of sensitive information while adhering to office protocols.

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Experience with QuickBooks for basic bookkeeping tasks is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent typing skills with attention to detail for data entry and proofreading tasks.
  • Bilingual abilities are a plus for enhancing communication with diverse clients.
  • Familiarity with front desk operations and multi-line phone systems is advantageous.
  • Previous experience in office management or administrative roles is highly desirable.
  • Demonstrated customer service skills with a friendly demeanor and professional phone etiquette.
  • Ability to manage time effectively while handling multiple responsibilities in a busy environment.
