Position Summary
We are a veteran-focused disability consulting firm that helps clients compile the records, forms, and supporting documentation needed for submission to the Veterans Benefits Administration (VBA). We are seeking a highly organized DBQ Coordinator to manage the administrative side of the DBQ process from intake through file readiness.This role is responsible for gathering records, reviewing file completeness, coordinating scheduling, tracking progress, communicating with veterans, and ensuring DBQ packets are organized and ready for provider review. This is a non-clinical role and does not include diagnosing conditions or completing medical opinions.
Key Responsibilities
- Serve as the main point of contact for veterans throughout the DBQ preparation process.
- Collect and organize medical records, treatment notes, service records, personal statements, prior rating decisions, and supporting evidence.
- Review files for completeness before they are sent for provider review.
- Identify missing forms, missing records, unsigned documents, or incomplete intake materials.
- Complete case summaries and internal checklists for each veteran file.
- Coordinate appointments, reminders, document requests, and follow-up communications.
- Track deadlines, open items, and status updates across all assigned cases.
- Ensure all documents are properly labeled, uploaded, and stored in the correct case file.
- Communicate professionally and compassionately with veterans regarding outstanding items and next steps.
- Escalate complex file issues, missing evidence concerns, or case delays to management.
- Maintain confidentiality and secure handling of all personal and medical information.
Required Qualifications
- Exceptional organizational skills and strong attention to detail.
- Ability to manage multiple files and deadlines simultaneously.
- Strong written and verbal communication skills.
- Experience handling sensitive records and confidential information.
- Proficiency with CRMs, document management systems, spreadsheets, and standard office software.
Preferred Qualifications
- 2 years of experience in case management setting, medical office adminisitration, legal intake or claims support or similar documentation-heavy roles
- Experience working with veterans, disability claims, medical records, or benefits related documentation.
- Familiarity with VA forms, DBQs, and claims support workflows.
- Comfortable working in a deadline driven, process-driven setting.

Compensation
- $17-$20/hr starting
